Position Overview

Dairyland Power Cooperative, a Midwestern electric generation and transmission cooperative, has an immediate opening at its Genoa power plant for an Administrative Secretary. Position will provide confidential administrative support to various departments at the Genoa Station #3. This position may also be required to provide administrative support to LACBWR periodically. 

Responsibilities 

  • Perform receptionist duties, including the routing of switchboard calls and messages, visitor verification and greeting. 
  • In accordance with plant procedures, close Work Orders using the Computer Maintenance Management System (CMMS): 
  1. a. Post of all labor hours, Entity and Maintenance history, Statistics and Notes entry. 
  2. b. Maintain Safety PM records in the Document Management System (P8) applicable to closed Work Orders. 
  3. Scan and add all Work Order attachments to the Document Management System (P8) as required per plant policy. 
  • Type accurate and timely correspondence, reports, data submissions, plant procedures and forms, ensuring they comply with DPCtools to create, file, and retrieve documents for G-3, LACBWR, Corporate staff (onsite environmental, OSHA files): 
  1. a. As directed, file and organize plant documents. 
  2. b. Maintain receipt files for distribution of LACBWR controlled documents according to QA requirements. 
  • Assist with G-3 Admin Calendar entries as requested and resource reservation to schedule meetings and training: 
  1. a. Utilize the computer for word processing, data entry, spreadsheet and presentation creation and reference retrieval. 
  2. b. Utilize the CMMS system. 
  3. c. Maintain vendor files.
  4. c. Generate reports as requested. 
  5. d. Utilize electronic document management system for document control, retention and disposition. 
  • Coordinate the disposition of all correspondence, as necessary, with Administrative Supervisors to ensure that proper procedures are followed. 
  • Maintain accurate employee uniform records and monitor costs for budget variance reporting. 
  • Coordinate lodging for additional employees during outage periods. Enter Purchase Requisitions and obtain Purchase Order status as requested: 
  1. a. LACBWR responsibilities include maintenance of the Purchase Order file and index. 
  • Assist with the retrieval of data from equipment and vendor files, the library and from DPC's electronic document management system. 
  • Responsible for routine duties in the absence of the Administrative Supervisor/Assistant. 
  • Attend and participate in various monthly meetings; prepare minutes, distribute meeting minutes, and post in required areas. 
  • Maintain inventory and order office supplies as needed, i.e., printer toner, and copy paper. 
  • Maintain digital camera. Load, distribute or file pictures as directed.
  • Update schedules and forms as needed, including listing of 10-hour shift schedules, vacation schedules, and foreperson work schedules.
  • Assist with/maintain True Tag program: 
  1. Equipment Description: True Tag - add information into True Tag program so Shift Leader can generate tags for lock-out tag-out. These tags link back to each piece of equipment being repaired or inspected. 
  2. Confined Space - generate proper documentation when requested. These forms have been designed and given a number so entry permits can easily be generated. They are incorporated into the DPC document management system. Update manuals as needed. 
  • Provide secretarial/administrative duties associated with the Record of Change Process. 
  • Perform all other duties as assigned.  

Nature and Extent of Financial Responsibility: 

  • Errors may cause improper reporting of internal or external data; errors correctable without lasting impact to stations. 
Qualifications 
 
Education and Experience: 
  • Associate Degree in a secretarial science or business related field with a minimum of two (2) years of office experience preferred.
  • May consider a high school diploma with a minimum of five (5) years office experience.  
Skills:  
  • Proficient use of various computer programs, to include word processing, spreadsheets, presentations and database software; prefer Microsoft experience.
  • Knowledge of records retention and office procedures.
  • Proficient in data entry.
  • Type 50-60 WPM with accurate proofreading skills.
  • Scanning equipment.
  • Digital camera equipment.
  • CDRW programs. 
  • Computer projector.  
Licenses and Certifications:  
  • Valid driver license is required.  
Physical Demands:  
  • Ability to sit, stand, walk, kneel, crouch/stoop/squat, lift and push, twist upper body, bend, reach and stretch. 
  • Ability to operate and manipulate a multi-line switchboard, telephone, personal computer, copy machine, shredder, scanner, fax machine, calculator, storage cabinets, digital camera, CD burner, and general office tools.  
Environmental Demands: 
  •  Works indoors.  
Other Job Characteristics: 
  • Position requires accuracy and speed under deadline pressure. 
  • Performs various tasks in a variably paced, variable pressure setting.
  • Moderate supervision. 
  • Good written and oral communication skills.
  • Frequent contact with internal personnel and external vendors. Ability to handle multiple interruptions throughout a typical day. Ability to perform easy maintenance on office equipment, i.e., paper jams, toner, etc.
  • Ability to prioritize assigned tasks.
  • Maintain confidentiality.
