Position Overview:
The Data Services Associate Manager is responsible for leading the Data Services team in data entry, data hygiene, and optimization of donor revenue data with the organization's Blackbaud Enterprise CRM (BBEC) database. This position is responsible for overseeing all constituent biographical and gift data entry as well as managing retrieval processes for fundraising information from the database including creation of advanced reports, queries and exports in support of fundraising operations and financial reconciliation.
This position also manages staff responsible for processing all credit and debit cards and on-line gifts while coordinating with Finance to ensure that gifts are properly coded in accordance with the chart of accounts. The Data Services Associate Manager supervises the Data and Donor Services Assistant and the Data Services Assistant.
Responsibilities:
- Coordinates and supports all organizational data entry efforts for both donor and prospective donor biographical and revenue information.
- Develops and maintains regularly scheduled data hygiene routines to ensure data integrity.
- Acts as the main contact and monitors performance with caging and lockbox provider as well as recommends and implements procedural changes as required.
- Supervises the processing of all donor credit/debit cards, bank deposits and online gifts.
- Oversees processing of special giving programs including corporate matching gifts, tributes, memorials and workplace giving.
- Manages processing of the monthly giving program, including processing monthly donations, maintaining donor data, sending monthly credit card expiration notifications and communicating with this donor segment in collaboration with Donor Relations.
- Drafts and maintains all written procedures for Data Services operations.
- Develops procedures and standards for Development staff on the proper data entry of commitments and pledges and offers trainings for staff in those areas.
- Creates and runs revenue queries, exports and reports in support of fundraising efforts in cooperation with Major Gifts, Planned Gifts and Foundations staff as needed.
- Coordinates with various staff members revenue-related needs in support of special giving programs and donor relations.
- Works closely with Finance to ensure that gift data is properly coded and can be reconciled with the accounting system.
- Implements continual improvements as required to Data Services operations and to achieve excellence in the data services function.
Supervisory Responsibilities:
- Manages Data and Donor Services Assistant and Data Services Assistant.
- Oversees and coordinates data entry and gift processing with Data Services staff and monitors work to ensure quality control and timeliness of entry.
Qualifications:
- Associate's degree or related post-secondary technical training required. Bachelor's degree preferred.
- Advanced skills in Blackbaud eCRM or the Raiser's Edge or similar fundraising software.
- Experience with Microsoft Office with significant knowledge of Excel.
- Demonstrated experience with planning, delegating and managing a gift processing/data services function in a non-profit fundraising organization.
- Strong communication skills including writing ability.
- Ability to convey technical information effectively.
- Well-organized, attentive to detail and timeliness.
- Successful management of staff and experience with team building.
- Personable and able to work with a wide variety of people.
