Position Overview: 

Carries primary responsibility for the logistics, administrative support, and functional coordination of BGI educational events, primarily the MBA hybrid Intensives at Islandwood and the Evening MBA classes conducted in Seattle.  Serves as the point person responsible for representing BGI at a wide range of academic events and venues.  Ensures that students and faculty are engaged and informed on logistical and facility issues, and serves as a conduit to address same.  Improves the effectiveness of the academic department by providing administrative support to the department, primarily to the Dean of Academic Affairs.

Responsibilities: 

Support for Hybrid MBA program: 

Conducts the logistical planning for monthly Hybrid-program intensives, including scheduling, housing, meals, informational distributions, channel postings.  Carries primary responsibility for on-site Intensive logistical support; requires presence at Intensives full-time, including weekends. Conducts post-mortems after each Intensive, identifies corrective actions that need to be taken, and manages follow-up activities with all affected parties.

Support for Evening MBA program: 

Manages the logistics of classroom scheduling, accessibility, setup, and supplies.  Liason with Communications Team to ensure that facilities utilization for academic and marketing events do not conflict.

Instructional support: 

Provides administrative and scheduling support for all physical classes and remote-learning sessions for all educational programs: Hybrid MBA, Evening MBA, Certificate, and seminars.  Responsible for ensuring that all paperwork required of faculty-contractual agreements, reimbursements, authorizations, accreditation paperwork-is managed in a timely and efficient manner.

Administrative support: 

Provides executive-assistant support to the Dean of Academic Affairs.   Proactively looks for ways to improve administrative efficiency in the academic department: calendar scheduling and coordination, document and file organization, meeting efficiencies.  As requested, participates in academic meetings as scheduler, note-taker, record-keeper, and manager of follow-up tasks.  Such regularly scheduled meetings include Intensives debriefs, faculty meetings, Program Leadership Council (PLC) meetings, and Academic Team meetings.

Data gathering & analysis:  

Administers, records, and analyzes evaluations from students, faculty, and TAs.  Conducts and supports faculty and course evaluations, ad-hoc and informal surveys as requested.

Special projects: 

Manages special events and projects from start to finish, including management of tasks, timelines, budget, personnel and deliverables.

Other Responsibilities: 

Assigned other responsibilities at the discretion of his/her manager.

Qualifications:

Knowledge & Skill Requirements:

  • Team player.  Places a higher emphasis on contributions to a work team, rather than on receiving recognition for personal contribution.  Exercises an ability to establish and maintain effective working relationships with faculty, students, staff, professional peers and the public.
  • Strong technical skill set. Demonstrated ability to operate either Mac or Microsoft operating environments. Competent with Microsoft Word. Competence with presentation software such as Prezi and PowerPoint preferred.
  • Strong verbal and written communication skills. Highly developed social skills and the ability to work effectively with many personality types.
  • Ability to listen carefully and incorporate that learning in communications and problem solving.
  • Familiarity with social media platforms. Experience with the use of social media in an academic or business environment preferred.
  • Well organized. Develops and adheres to consistent structure for document labeling, filing, retention and retrieval, and actively promotes and supports the use of such structure across the organization.

Educational Requirements: Bachelor Degree in a relevant field preferred.

Extraordinary Working Conditions: Occasional overnight academic retreats, required week-end attendance at regular monthly Intensives, some out-of-area travel for events.

Team Assignments: Academic Team

Salary Grade: Exempt, Grade 3                                 

Hours Worked & Location: Full Time, Seattle office and periodically Bainbridge Island office.
