The U.S. Green Building Council is a Washington, D.C.-based national nonprofit organization of over 16,000 corporate and organizational members from every sector of the building industry united to transform the building marketplace to sustainability.

Position Overview: 

USGBC is currently seeking a Tradeshows and Operations Manager to be responsible for quality assurance directly associated with all conference, virtual tradeshows and tradeshows for USGBC. This position will maintain departmental and organization wide best practice for tradeshow strategic selection, booth fabrication, drayage, shipping, cost analysis and contracting.

We are seeking a highly talented individual with a passion for best practice development as well as research and planning for sustainable ("green") exhibition and conferences.

Responsibilities:

Conference and Events Operations:

  • Financial reconciliation for Exhibition and Sponsorships
  • Manage general services contractor, including look of show, all orders and space layout
  • Greening in compliance with BS8901 Certification requirements, including monitoring performance of exhibition vendors and staff
  • Liaison to the annual conference shadow host committee coordinating display booth, giveaways, etc.
  • Develop and update as needed best practice playbook, timeline and history for the conference, events, and sponsorship teams
  • Serve as primary point of contact for convention center facility for Sponsorships and Exhibition team
  • Manage Top Tier and Sector Partner relationships and agreement fulfillment.
  • Create and update yearly a Greenbuild Emergency Plan
  • Manage Greenbuild Conference VIP's and VIP lounge

Tradeshow and Strategic Business:

  • Develop sector strategies for exhibition and conferences
  • Serve as main source for industry research and cost analysis for tradeshows
  • Determine tradeshow priority and appropriate level of involvement
  • Lead activities in preparation for tradeshows and conferences; recommend appropriate size/configuration of booth
  • Serve as primary liaison with show management for contract administration and compliance to show guidelines
  • Oversee team for set-up and dismantling of exhibits and on-site execution
  • Develop and maintain annual tradeshow calendar (domestic and international events) for posting/distribution to organization departments
  • Create and adhere to annual budget for all industry trade events. Recommend expenditures; review and submit invoices in a timely manner
  • Work with marketing and market development departments to drive and design appropriate messaging and configuration/graphic presentation for each show, including recommendations of product displays. Ensure consistency of messaging/product presentation with sales, marketing and game development
  • Work with the other members of the Marketing and Market Development departments and Executive Management to plan and stage trade show participation events and speaking engagements that are relevant, high impact and consistent with the mission of the organization

Workshop Delivery:

  • Determine which industry conferences would be the best fit to host LEED workshops
  • Solicit and contract with industry organizations to hold workshops in conjunction with their annual conference
  • Coordinate with marketing and education for adequate workshop promotion

Qualifications:

  • Bachelor's degree required
  • Minimum 5 years progressively responsible and successful meeting, conference and trade show planning experience
  • Excellent written and verbal communication skills
  • Strong skills in budget planning, research and reporting
  • Availability and willingness to work outside regular business hours
  • Strong knowledge of computer software programs including Word, Excel, PowerPoint, Visio
  • Ability to manage temporary union staff at tradeshow locals
  • Perform ROI analysis for all tradeshows and programs. Create report which ties contact information to organization goals to determine which tradeshows and events are most effective at driving mission
  • Track, record and distribute all leads acquired from trade shows. Tradeshow leads will be entered into the software tracking system within 5 working days after the show has closed. Hard copy leads distributed to departments within 2 working days after the show has closed
