Description

The Green Building Certification Institute is currently seeking an Administrative Associate to provide general administrative support to the GBCI staff and Director of Operations.

Responsibilities:

  • Provide exemplary customer service via telephone and E-mail, closing inquiries whenever possible
  • Screen Calls for staff, and take messages when appropriate
  • Manage GBCI Reception, greeting visitors, etc.
  • Provide GBCI staff with administrative support as necessary
  • Process all volunteer expense reports, responding to any policy inquiries
  • Maintain Non Employee expense report tracking spreadsheet
  • Maintain GBCI Milestone PPT
  • Complete weekly timesheet checks of all staff and provide statistics on a quarterly basis
  • Provide instruction/guidance to new staff on timesheet completion
  • Order office supplies maintaining stock of regularly used items
  • Order Coffee supplies, and maintain coffee machine
  • Distribute mail
  • Ship Packages
  • Handle office maintenance requests
  • Process visitor requests, informing building security
  • Monitor ink in printers, informing IT if low/empty
  • Maintain Pantry Duty roster
  • Handle general administrative tasks and special projects as needed
  • Other duties as assigned

Qualifications:

  • Bachelors degree preferred
  • Minimum 1 year relevant professional office experience
  • Attention to detail and ability to handle multiple tasks
  • Excellent organizational skills
  • Excellent written and verbal communication skills
  • Strong computer skills including fluency with MS Office Suite, strong abilities in Excel, PowerPoint, database management
  • Excellent interpersonal skills
  • Ability to work well both as member of team and independently
  • Commitment to GBCI Mission
