Overview of Position:
The Office Manager (OM) is responsible for the efficient and organized operations of TransFair's front office and administrative and technological support functions.
The OM supervises a small staff including Office Clerk/Receptionists and volunteers, and reports to the Operations Director.

As a member of the Operations Department, the OM collaborates with a creative and dynamic team. TransFair's staff of thirty depend on a efficient and skilled front office.

A highly-organized manager is needed. One who thrives in a fast-paced environment and can manage multiple projects. Problem solving skills, especially with workstation technology issues, are a plus as is an attitude that enjoys fostering a positive office community.

Specific duties include:

  • Supervise orderly appearance of front office, break room, conference room and shared spaces.
  • Schedule and ensure opening the office by 8:30 AM, M-F.
  • Directly supervise the Receptionist/Office Clerk(s) to provide full coverage of front office duties.
  • Provide backup coverage of front office activities: guest and telephone reception, photocopies, faxes,mailings and meeting support.
  • Control inventory of office and break room supplies, and manage accounts with supplies vendors.
  • Maintain the general organizational calendars, maps and notice boards.
  • Maintain photo copy & postage tracking system for department and staff use. Report monthly.
  • Sort daily mail deliveries, and ensure daily processing outgoing mail.
  • Maintain office equipment; copier, fax & postage machines, printers.
  • Ensure that necessary program materials are stocked and available for shipping.
  • Provide assistance with meeting and special events logistics.
  • Respond to general inquires and request for information.
  • Manage general email communications.
  • Provide technical training, trouble-shooting and assistance to staff members on computer and telephone issues.
  • Provide back up to the Network Administrator with server and IT vendor services.
  • Collaborate with department team to organize birthday, holiday and farewell parties.
  • Coordinate mass mailings as needed by program departments.
  • Work creatively with the Operations Director to develop solutions and alternatives to the organization's operational issues as they are anticipated or arise.

Qualifications:
Proven experience in office operations
Familiarity with office equipment (copiers, fax and postage meter) and strong ability to trouble-shoot mechanical equipment
Strong experience with computers, MS office software and an some understanding of networks
Experience with supervising employees and volunteers
Ability to multi-task and maintain a positive attitude and sense of humor
Strong interpersonal and phone skills
Ability to work in a flexible and fast-paced environment
Excellent organization, prioritization, time-management and delegation skills
Commitment to environmental and social justice and change
Work independently with attention to detail
Spanish and other foreign language skill helpful
