Reports to: Volunteer Program Manager
Department: Marketing and Communications

Responsibilities:

The Expedition Coordinator (EC) is responsible for recruiting qualified team members onto our research projects, providing pre-departure service to new and existing team members, and coordinating and providing team and project details to researchers (usually academics).

Additionally, each EC is responsible for working collegially with other departments in supporting program development, field management, and the Alumni Program.


Duties include:

  1. Recruit qualified team members:
    • Fielding, servicing, and converting inquiry calls generated by our print advertising, public real relations and direct mail initiatives.
    • Actively recruit team members from core groups who are already aware of or involved with Earthwatch, including: members of the institute, former team members; and waitlisted or cancelled team members from past years.
    • Advise prospective team members on political environments and choosing projects that will best fit physical abilities and expectations. When necessary, set appropriate expectations.
    • Conduct screening of volunteers through the review of required health and personal information forms.
    • Maintain up to date contact information.
    • Redirect volunteers from cancelled or filled teams to other projects.
    • Identify projects that have problems filling in a timely manner and develop strategies for filling these teams.
  2. Provide pre-departure service to new and existing team members:
    • Respond to all team member calls and letters in a timely manner.
    • Provide prospective and team volunteers with accurate, up to date information on the expeditions, rendezvous, logistics, etc.
    • Act as a liaison between the researchers and the team members.
  3. Coordinate and provide team and volunteer details to researchers:
    • Apprise researchers of team fill status and provide team lists on a regular basis.
    • Coordinate the organization, review, and distribution of all relevant team member application materials and itinerary information from US and affiliate offices (UK, Australia, Japan) to researchers.
  4. Support Earthwatch's program development and field management:
    • Provide information to Program Managers (PMs) and Program Directors involving volunteer interests, logistical difficulties, and any concerns regarding volunteer participation for new projects in development and project renewals.
    • Work with PMs in projecting and reforcasting based on expected recruitment.
    • Review expedition briefings for accuracy, clarity, and complete coverage of anticipated volunteer questions.
    • Review and edit all write-ups on projects for Expedition Guides, Magazine, and web.
    • Conduct post-expedition follow-up calls and review and respond to project evaluations submitted by team members.
    • Support training of researchers, crisis management, and perform yearly site visit.
  5. Assume additional responsibilities as requested.

Skills And Experience:

  1. Excellent verbal and written communication skills, especially telephone experience. Foreign language skills are helpful.
  2. Strong ability to multitask, handle details and to maintain organization.
  3. Background or strong interest in environmental, biological, or social sciences.
  4. International travel experience (especially scientific field experience).
  5. Computer skills.
  6. Recruiting, sales, or marketing skills - to convert prospective volunteers and inquiries into team members with a heavy emphasis on customer service.
  7. Ability to work cooperatively as a member of a team.
  8. Stamina, positive attitude, and a sense of humor.

Salary range: $24,000 - $26,000 commensurate with experience.
