Position Overview 

Responsible for standard, advanced, and confidential support of one or more Ecova Executives, requiring experience in project management, large event planning, global work experience , and knowledge of organizational policies and practices. Schedules and maintains calendar of appointment, meeting, and travel itineraries of assigned Executive(s). 

Responsibilities  

Role Description 

  • Directly supports one or more executives who report directly to the CEO. 
  • May interpret correspondence from international parent company.
  • Exercises independent discretion regarding job matters relating to the respective Executive(s) that are supported, which do not include team dependencies.
  • Responsible for large event planning (e.g., Sales and Marketing Summits).
  • Serves as a Project Manager from start to finish for facility moves and other large scale leadership driven initiatives.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
  • As a member of the Ecova Administrative Professional Team (APT) contributes positively and actively to improving administrative processes and systems at Ecova. Regularly identifies and shares ideas for continuous improvement. 
  • Runs all Ecova meeting technology solutions such as video conferencing, internet conferencing, and troubleshooting where needed. 
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares and edits correspondence, communications, presentations and other documents.
  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.
  • Prepares leadership reports by collecting and analyzing information.  

Qualifications  

Role Competencies 

  • Associates degree or equivalent required. Equivalent considered to be high school diploma/GED + 6 years Administrative support experience. 
  • Fluent in French language preferred.
  • Knowledge of French international business culture preferred.
  • Bachelors Degree preferred.
  • Requires 6 years of administrative support experience with 4-5 years at the executive level.
  • Demonstrated experience effectively managing travel and schedules for senior level leaders. 
  • Experience supporting leaders in global-facing organization.
  • Successful large scale event planning experience.
  • Ability to independently utilize Ecova meeting technology solutions.
  • Demonstrated proficiency in the Microsoft Office environment including Word, Excel, PowerPoint and Outlook.
  • Proven Project Management skills.
  • Ability to identify trends in data and comfortable presenting information to leadership.
  • Must have exceptional oral and written communication skills.
  • Ability to manage multiple tasks and demands.
  • Attention to detail and accuracy.
  • Strong organizing and planning skills.
  • Initiative.
