The not-for-profit Monterey Bay Aquarium opened in 1984, and has earned a reputation for being among the world's finest. Located on Monterey's historic Cannery Row and featuring exhibitions that focus on Monterey Bay's diverse habitats and wildlife, it attracts between 1.7 and 2.4 million visitors each year.

The institution's mission is to inspire conservation of the oceans, both through exhibits and through conservation research and advocacy in such areas as sea otters, open-ocean fishes research, marine protected areas, fisheries health and others. More than 80,000 schoolchildren take advantage of the aquarium's free education programs and tours every year.

Position Overview:

The Senior Development Assistant administratively supports the overall fund raising and the annual gifts program efforts for the Packards' Circle and Ocean Legacy Donors, with specific support for the Chief Development Officer and the Development Director.  This position is responsible for partnering with staff to provide excellent service to all aquarium donors and members.

Responsibilities: 

1. Provide administrative support for the Chief Development Officer in working with major donors and Board of Trustees that includes: answering phones and communicating directly with major donors and trustees, maintaining departmental records, preparing reports and providing documents needed for personal solicitations and meetings with board leadership council and board of trustees. Assist in making arrangements for personal solicitation meetings.

2. Provide administrative support for board of trustee/major donor events and leadership council events, Executive Director's Forum, Packards' Circle and Ocean Legacy Circle events and planned giving seminars. Prepares reports on new and renewing donors and prospects.

3. Provide administrative support for the Development Director in working with the Packards' Circle donors that includes: sending renewal notices, solicitations and acknowledgements, performing data entry, tracking gifts, preparing and sending mailings and maintaining files.

4. Provide administrative support for the Jane Steel Ocean Legacy Circle program that includes: performing data entry, preparing and sending correspondence, maintaining files, preparing gift annuity illustrations and agreements.

5. Provide assistance with recognition lists for Shorelines, the aquarium's Annual Review and the Packards' Circle Honor.

6. Primary administrative contact for processing stock gifts, communicating to accounting and our bank representative; maintaining the stock transaction tracking form, and follows through to data entry and fulfillment.

7. Communicates inventory needs to Annual Fund Coordinator when supplies are running low.

8. Provides administrative support for the fund raising team.

9. Participates in proofing departmental print materials.

10. Answers phones and models departmental standards of customer service. As needed, performs membership and donor data entry and orders office supplies for the department.

11. Helps with member nights and lower level donor events.

12. Provides administrative support for other management staff within the development department as needed.

13. Assists with special projects as assigned.

Qualifications:

  • Minimum three to five years prior office experience
  • Advanced customer service skills, organizational and communication skills, careful attention to detail and a high regard for accuracy are required.
  • Excellent phone and computer skills required
  • Must be able to work well in a fast paced, team environment
