Position Overview:

The Property Manager (PM) will be responsible for managing The Thoreau Center for Sustainability in the Presidio National Park of San Francisco. The Thoreau Center is a non-profit-owned, mission-oriented commercial complex comprised of 12 historic buildings and operated by Tides Inc. under a Master Lease from the Presidio Trust.

Under the supervision of Tides' Director of Facilities, the Property Manager will be responsible for the day-to-day management of operations, tenant leasing and decisions involving this unique property. The property shall be maintained and operated to incorporate sustainable green building principles and community building wherever possible. The Property Manager will interact extensively with Tides staff and tenants in this green, nonprofit center, especially the Thoreau Center Program Coordinator. This position requires a fully hands-on approach, with a willingness to take on tasks as varied as preparing and monitoring budgets to fixing unexpected maintenance problems, engaging in community building projects, as well as tenant leasing.

The Property Manager is an exempt position. Exempt employees are expected to work the appropriate and necessary time in order to complete key assignments and related tasks on schedule.

Responsibilities:

  • Supervising activities related to the physical operation of the property, including building systems and procedures, equipment maintenance, cleaning, repair, remodeling, parking, security, and landscaping.
  • Managing the day-to-day fiscal activities of the property, including invoice/expense review and approval, operations analysis, CAM calculations, and budget management.
  • Providing information and direct input in fiscal activities, including business planning, profit and loss statements, budget preparation, and financial planning.
  • Assisting with managing specific aspects of the lessees' tenancies, including tenant compliance with Building Rules and leases. Assist with developing, implementing and maintaining a marketing, leasing and renewal strategy for both current and prospective tenants.
  • Assisting with the coordination of construction activities related to property maintenance and tenant improvements. Supervision of all building vendors.
  • Ensuring all government, industry and owner required programs are instituted and maintained within the property (i.e., ADA, OSHA, and Historic Building Guidelines).
  • Developing and maintaining outstanding tenant relationships and providing excellent customer service. Work closely with the Thoreau Center Program Coordinator on programs at the Center, including Green Team, public events, etc.
  • Controlling all emergency procedures including establishing plans, implementing practices, monitoring equipment, and executing the plan in live emergency situations.
  • Directing the development, revision and implementation of property manuals. Property manuals may include, but are not limited to, Tenant Design Criteria, Construction Coordination Manual, Tenant Handbook, Crisis Management Manual, Management Plan, and Emergency Procedures Handbook
  • Leads, develops and supports on-site maintenance personnel including hiring maintenance staff and/or consultants and overseeing all aspects of supervision and management.
  • Holds direct reports accountable to achieve team goals and work plans by ensuring team members have the appropriate skills and support to accomplish their objectives.
  • Works to ensure that Tides staff recognizes the team as an actively contributing partner in achieving the strategic goals and objectives of Tides.
  • Ability to share on-call after hours emergency coverage with team members
  • Serve as main point of contact for the Presidio Trust for Transportation Management, Presidio Park related events and community relations, accounting and leasing questions, etc.

Qualifications:

Knowledge, Skills, and Abilities:

  • Commitment to green building operations and implementing energy and resource conservation
  • Experience with effectively managing small teams of staff simultaneously; handypersons and a multitude of vendors including janitors
  • Experience with historic buildings and able to work within the Federal Government historic guidelines
  • Experience with project management and light construction management for supervising building improvements and maintenance projects
  • Experience with leasing activities; lease negotiations, lease drafting and execution. Brokers license desirable but not required.
  • Sufficient analytical and quantitative ability to compute commissions, escalations, ratios and proportion, volume, area
  • Use of all basic office machines (copier, fax, scanner, printers, etc.)
  • Practical and technical competencies with MS Word, Excel, and Outlook (Office 2007) in a PC environment. Experience with property management software applications highly desirable
  • Email and Internet savvy and resourcefulness
  • Excellent organizational and documentation skills
  • Ability to work in fast-paced, flexible environment
  • Possess a valid Driver's License

Education and Experience:

  • Bachelor's degree in finance, accounting, real estate or related field
  • Minimum of 5 years' experience in commercial property management with profit and loss responsibility
  • Certified Property Manager (CPM) and LEED AP Certification a plus, but not required.
  • Experience working with non-profits a plus. Sharing a socially minded perspective will help in engaging with non-profit tenant base. Community building and tenant relationship experience helpful.
