Position Overview

We currently have an exciting opportunity available for an onsite Project Coordinator, working 30 hours per week at our job site in Totem Lake. The Project Coordinator is the administrative “jell” interconnecting and providing services to support the project management, field and accounting functions. The Project Coordinator will keep the project team on schedule for internal functions, and provide accurate and up-to-date information on all external project function tracking.

Responsibilities

Key responsibilities include, but are not limited to:

  • Assist Project Managers with initial project setup.
  • Provide general office maintenance duties as coordinated with the Venture Partners, (Plans, Copier supplies and maintenance, Supplies, etc.).
  • Assist in assembly of bid packages as requested. Send out Bid invites w/ PM.
  • Assemble pre-qualification packages and/or RFPs to clients.
  • Process Master Agreements after pre-qualification package. • Review insurance on a weekly basis to maintain updated information.
  • Support Pre-construction efforts as required by the PM.
  • Coordinate with Accounting, obtain job number and set up project in CMiC to establish new project.
  • Type and track purchase orders, work orders, service agreements and owner agreements.
  • Set up project directory and job information in CMiC.
  • Copy plans and notify subcontractors of plan availability.
  • Assist Project Manager as needed to initiate project.
  • Prepare subcontractor and owner of change orders and purchase order modifications as directed by the project manager.
  • Track project specific insurance and update the insurance information in CMiC.
  • Review any accounting issues holding up the subcontractor payment, any Sun or Vendor over 45 days facilitate the paperwork and work with accounting to get them paid.
  • Assist Accounting in obtaining all paperwork from subcontractors and vendors.
  • Process all final change orders promptly.
  • Make sure final CO goes out for each subcontract.
  • Other duties as assigned.
