Position Overview:
We seek a committed, responsible, energetic, and professional individual to join this effort. ClimateWorks is looking for a highly skilled and motivated Project Assistant to provide organizational and administrative support for ClimateWorks Program Directors.
This is an excellent fit for a person seeking an entry-level position in the environmental or philanthropic field. This position will provide support to program directors and other team members, including coordinating logistics for consultants with highly variable schedules. This assistant will be working in a challenging environment that will include detail-oriented, independent work, quick thinking, and professional client interactions.
Responsibilities include:
- Assist program directors and others with scheduling and coordination of conference calls, internal and external meetings, workshops, and interviews
- Support project teams with logistics, coordinating travel arrangements, etc.
- Provide general organizational and operations support
- Assist with program activities, including event planning and organizing for a variety of meetings and functions
- Assist with grants management and grantee files
- Read and route incoming mail and other correspondence
- Maintain administrative and client files and documents
- Manage phone calls and incoming and outgoing written materials
- Correspond via phone, letters and/or email with clients, vendors and associates
- Assist with production and quality control of outgoing work products
- Provide general program support
Qualifications:
- 2 years+ experience in administrative/office support role
- BA degree or equivalent (environmental science and/or policy coursework preferred)
- Previous experience maintaining complex calendars and coordinating meetings/events
- Attention to detail and strong organizational skills
- Excellent research, analytical, and writing skills
- Competence in MS Word, Excel, PowerPoint, and Outlook
- Ability to work effectively and efficiently with minimal supervision
- Ability to work under pressure, prioritize, and multi-task
- Good personal and interpersonal communications skills
- Passion for environmental issues
