Matthiessen Strategies, LLC, founded in 2010, is a public interest consultancy working with both for-profit and not-for-profit clients to make their goals of environmental stewardship a reality. The work includes environmental and regulatory research, advocacy, network and coalition building, media outreach, fundraising, and political and campaign strategy. Current projects include building regulatory support for a green fertilizer and a transmission line that would spur renewable energy development as well as a campaign to bring congestion pricing to New York City.
Alex Matthiessen, founder and president of Matthiessen Strategies, LLC and graduate of UC Santa Cruz and Harvard University, draws upon 25+ years of experience as a professional environmentalist and advocate, including work for the U.S. Department of Interior, Rainforest Action Network, and Riverkeeper, to succeed in these initiatives.
Position Overview:
Seeking an executive assistant to an independent environmental advocate and strategy consultant. This individual manages the day-to-day operations of a startup firm, working directly with the President and, in time, a small staff. This includes managing the workflow of the firm, from coordinating schedules and meetings to ensuring that deliverables are submitted to clients on time. As part of a start-up, this position is ideal for someone willing to tackle all parts of operating a new and growing consulting business.
Responsibilities:
- Manage the president's schedule, calendar, and deadlines; make travel arrangements; and respond to mail and email correspondence
- Handle some personal assistant tasks (e.g., paying bills, filing)
- Maintain physical and electronic filing systems
- Coordinate all elements of meetings hosted by Matthiessen Strategies
- Coordinate all facility, telecom, and computer maintenance requests and office supply orders
- Produce letters, memoranda, presentations, meeting materials, reports, etc, as necessary; proofread documents for grammar, punctuation, and spelling
- Produce and submit invoices, including expense reimbursements, for billing clients
- Bookkeeping, including recording revenue and expenditures, managing multiple accounts in Quickbooks, and preparing tax information for submission to accountant
- Manage bank accounts, include payroll, check writing, fund transfers, and account balances
- Record keeping, including relevant tax documents and the compilation of records for tax filings
- Perform ad hoc projects as needed
- Maintain confidentiality and use discretion and tact
- Take initiative to manage details and deadlines
- Develop and maintain information and workflow management systems to keep the office organized and on schedule
Qualifications:
Required:
- A minimum of a bachelor's degree
- Strong proficiency in Mac systems, MS Office Suite, and Quickbooks
- Minimum 1 year of administrative experience
- Minimum 1 year of bookkeeping experience
- Strong interpersonal skills
- Highly detail oriented a must
- Strong writing and communication skills
- Excellent organizational and clerical skills
- Ability to manage multiple responsibilities and projects with competing priorities and deadlines
- Ability to work independently in the absence of specific instruction, and use good judgment in decision making and initiative in ensuring tasks are completed
- Demonstrate initiative, creativity, and resourcefulness in problem solving
Preferred:
- Familiarity with NY State and Federal business laws and tax codes, e.g. NY State Dept. of Labor hiring processes, etc.
- Background in environmental issues and campaigns a plus
Compensation: commensurate with position and experience. Benefits (health care and vacation) negotiable as part of compensation package.
Location: 1115 Broadway (across the street from Madison Sq. Park); some flexibility re: telecommuting
