Lands within Montana's Lewis and Clark, Jefferson and Broadwater counties have undergone significant change during the past ten years. Much of the predominantly rural land immediately surrounding the city of Helena has been developed into suburban housing tracts. As the population has increased, recreational opportunities, uninterrupted views and open space have diminished and access to open lands, both public and private, has been closed off.
The Prickly Pear Land Trust is committed to the belief that open space is essential to the well-being of all communities. Open views of land and habitat are emotionally uplifting; they renew and revitalize the human spirit. Open space has been proven to increase property values, reduce erosion, and protect air and water quality. A multitude of recreational opportunities abound in open spaces and agricultural lands preserve a cultural heritage as well as feed the citizens of our world. The Prickly Pear Land Trust is committed to preserving, protecting and promoting open space throughout the Prickly Pear Valley and adjoining lands.
Position Overview:
The Events and Outreach Coordinator (EOC) is responsible for maintaining and expanding PPLT's exposure and recognition within and beyond its service area through coordinating successful events and the design and dissemination of marketing materials. In addition, the EOC will maintain PPLT website and social media presence as well as work with the membership and outreach committee to build knowledge of and participation in PPLT activities.
Reports to: Executive Director
Responsibilities:
I. Event Coordination ( 40%):
- Harvest Moon Banquet and Don't Fence Me In Trail Run
- Manage committees of volunteers to plan, coordinate, and implement these two large-scale fundraising events.
- Prepare all forms and communications, pre- and post-event support materials, or other documents required by sponsors, contributors, participants, volunteers or vendors pertinent to each event and/or activity.
- Prepare participation, revenue and expense projections for each event. Meet and/or exceed net income projections.
- In conjunction with Development Director, Plan and coordinate, aspects of the major donor and donor cultivation events.
- Organize logistics and mailings for PPLT's Annual Meeting.
- Implement and manage systems for the successful recruitment, orientation, retention, and ongoing management of volunteers. This includes timely thanking and recognition of volunteers.
II. Outreach Activities (40%):
- Coordinate the development of a comprehensive marketing plan for PPLT activities and programs.
- Design all written materials, i.e. newsletters, brochures, mass emails, social network updates, and other outreach materials for membership support.
- In coordination with Membership & Outreach Committee and Development Director, assist in efforts to increase PPLT membership.
- Work with Membership and Outreach Committee to plan community outreach events by attending meetings and promoting activities.
- Coordinate other outreach activities within the community as they arise.
Website and media (20%):
- Ensure the website is maintained with accurate information, including information regarding events and projects.
- Develop and maintain relationships with media personnel to increase visibility for the land trust and promote public participation in PPLT activities and events
- Coordinate production of an Annual Report for PPLT
Qualifications:
Minimum requirements for the position include high school degree and 2 years demonstrated experience in a media, marketing and/or event planning role. Excellent written skills; ability to work with databases, and word processing software programs; and ability to multi-task detail-oriented activities required. Knowledge of event planning, website design, and social media preferred. Commitment and passion for land conservation and/or recreation preferred.

OTHER NOTES: This part-time position allows for a flexible work schedule. However, planning the Don't Fence Me Trail Run and Harvest Moon Banquet and Auction takes both evening and weekend work time which increases in intensity in the weeks prior to the events. Both events require significant attention to detail and the ability to work with a significant number of volunteers.
