Position Summary

NRDC is seeking an Estate Coordinator to work with the Planned Giving team in our New York office.The Estate Coordinator will be responsible for the administration of estates originating from investment accounts, wills and trusts. The coordinator will communicate with attorneys, financial institutions and trustees. The person will also maintain documents related to estate administration including NRDC corporate documents.

  • Our offices are open and we are operating in a hybrid model. We offer NRDCers flexibility, and we ask them to come into the office and spend meaningful time there in collaboration with their colleagues. We call this purposeful presence.  

Responsibilities

Retirement Plans Administration    

  • Receive, review, and organize claim forms from financial institutions regarding bequests originating from IRA’s (traditional and Roth), life insurance policies, TOD accounts, brokerage accounts, CD’s, and annuities.   
  • Communicate via phone with financial institutions to clarify required information on forms, mandatory submission of personal data from authorized representatives, and confirm what individuals can sign.   
  • Coordinate signatures, notary, medallion stamps (if required), and personal data entry with NRDC authorized representatives.   
  • Provide follow up with financial institutions regarding the status of accounts; act as the point of contact for NRDC.   
  • Coordinate with NRDC authorized individuals to call financial institutions for account liquidations, etc. as needed.   
  • File and upload to database all account related correspondence received.   
  • Confer with Estate Manager regarding problematic accounts.   

Estate Administration  

  • Review Notice of Probates, Will, and Trust documents to determine NRDC’s interest in the estates.   
  • Update database and estate spreadsheet regarding deceased individuals.    
  • Create hard file for decedents. Scan and save correspondence electronically and in hard file.   
  • Deliver correspondence to Estate Manager for review, follow up, and communication with attorney, trustee, and executor.   
  • Assist with various estate matters assigned by Estate Administrator.  

Manage NRDC Corporate Documents  

  • Ensure the Planned Giving department maintains current original copies and electronic versions of necessary NRDC corporate documents.  
  • Coordinate with Corporate Counsel office for updates and/or changes in authorized officers and updating documents.   

Qualifications

  • Individual should have experience with estate administration.  
  • Proficient in reading and understanding legal language and legal documents.  
  • Must be able to work independently and handle multiple tasks.  
  • Excellent written and oral communication skills along with strong interpersonal skills.   
  • Excellent organizational skills and meticulous attention to detail are essential.  
  • Knowledge of SalesForce donor database.  

Compensation

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. Internal equity will be reviewed and considered to determine a final offer. For this position, the salary range is $63,000 to $72,000.
