Position Overview
We have an opening in our Power Planning
Division for an Assistant to support the Regional Technical Forum (RTF).
The
position reports to the Manager of the Regional Technical Forum and also
receives guidance from the Director, Power Planning. This position provides
support for the RTF Manager by providing scheduling, logistical support,
document and communications preparation, note taking, contracting support, and
assists in the day-to-day operations of the RTF.
Primary Duties and Responsibilities
Serve
as assistant to the RTF Manager
- Function
as the point of contact for all RTF communications, routing to RTF contractors
and staff for responses when appropriate - Be
aware of the RTF work flow and be proactive in ensuring deadlines are met,
meeting materials are prepared prior to each meeting, and webpages are updated - Attend
weekly RTF staff meetings to ensure understanding of work item status - Manage
the RTF Manager's calendar, coordinating all meetings and identifying potential
scheduling conflicts
RTF
Monthly Meeting and Subcommittee Support
- Facilitate
scheduling for all RTF, subcommittee and policy advisory meetings (typically
four to six meetings per month) - Send
meeting notifications and materials to RTF members and interested parties - Prepare
monthly meeting handouts and update materials on the website for all RTF
meetings - Conference
room/webinar setup and technical logistics - Facilitate
lunch orders (monthly RTF meeting) - Monitor
the meeting throughout the day - Listen
in on subcommittee meetings and provide RTF Manager with notes of those
discussions (as needed) - Post
monthly meeting minutes after RTF approval
Website,
Database and Measure Support
- Update
measure database on a monthly basis, including posting most recent workbook
updates and ensuring all measure related materials are logically grouped on the
website - Update
decision databases - Update
and track small/rural checklists - Maintain
Request for Proposals (RFP) website page, ensuring the Q&A section is kept
current - Maintain
member listing on website - Update
other materials on website as needed, including workplan, bylaws, charter and
announcements - Keep
RTF webpage fresh, identifying items that could be outdated for the RTF Manager
Mailing
List Administrator
- Maintain
the multiple RTF mailing lists - Follow
up on email bounce backs - Develop
new subcommittee mail lists as needed
RTF Operations Support
- Support
coordination on annual funding agreements, including billing, invoicing,
receivable reporting, and filing maintenance - Maintain
conflict of interest records, following up with each member as needed - Support
Quarterly and Annual Report development, including drafting materials and
working with RTF Manager to complete - Update
Policy Advisory Committee dashboard on a monthly basis (Excel based
spreadsheet) - Maintain
existing pool of Qualified Contractors listing, updating as necessary - Manage/support
coordination on specific projects as assigned by RTF Manager (potential
projects include managing the quality control process, new measure requests,
and contract development and monitoring) - Update
RTF tools, such as the Standard Information Workbook, as needed - Annual
review of RTF Operations Manual, identify items needing updates
Essential Skills and Qualifications
- Excellent
written and oral communication skills - Proficiency
in all MS Office applications, with strong Outlook, Excel, Access and PowerPoint
skills - Ability
to manage multiple tasks simultaneously, prioritize and help manage the workload
of the RTF Manager - Independent
work style with ability to self-manage duties as well as delegate tasks as
needed - Bachelor's
degree or equivalent preferred
