~ The Urban Sustainability Directors Network (USDN) is a peer-to-peer network of local government professionals from cities across the United States and Canada dedicated to creating a healthier environment, economic prosperity, and increased social equity. ~

Our dynamic network enables sustainability directors and staff to share best practices and accelerate the application of good ideas across North America. 

Our work is member led and member driven, meaning that members collectively determine what priorities they have each year and lead the work to carry them out. A Planning Committee serves as USDN's governing body, with responsibility to advance the strategic direction of the network. Members are fortunate to be supported by a managing director and staff who provide high-level leadership and day-to-day management. 

Position Overview

The USDN Administrative Assistant plays a crucial role in supporting information exchange among members by delivering member services and providing support to other USDN staff in a virtual team environment. This postion is part-time (30 hours/week), with potential to grow into full-time.  

Location: 

USDN has no central office, so the position is strictly work-from-home with weekly web meetings. Candidates must furnish their own quiet office space, computer, Microsoft Office suite, phone service, and high-speed Internet connection. 

Responsibilities  

Provide Member Services:

  • Manage process of scheduling conference calls for USDN members and USDN staff.
  • Assist with logistics for webinars and conference calls. 
  • If possible, respond to member requests as needed, like creating new website profiles.

Support Member Communications:

  • Copy edit and format USDN documents and presentations with USDN branding and graphics.
  • Assist staff in creating weekly e-newsletters, frequent website posts, and bi-annual online surveys, by transferring text to content management systems (Constant Contact and SurveyMonkey).
  • Maintain member spreadsheets, website profiles, and tracking documents.
  • Assist in tracking member activity, including responses to scheduling polls, call attendance, and other participation data.
  • If possible, assist in presenting data in charts and graphs in survey reports and dashboards.
  • Other tasks as assigned.

Qualifications / Requirements

Education:

  • Associate's degree required. Bachelor's degree preferred. 
  • Background in administrative assistance or customer service preferred. 
  • Demonstrated interest in sustainability or local government desirable.

Previous experience:

  • 1-2 years related experience required. May include internships. 
  • Past experience in detail-oriented position preferred.

Hard and Soft Skills:

  • Organized, analytical, and highly motivated
  • Independent (comfortable and efficient working alone) while a good team player (communicating with other team members through frequent electronic correspondence and infrequent in?person interaction) Skilled in computer technology, including Microsoft Office and Google products
  • Experience with online newsletter managers, online surveys, and social media preferred
  • Experience in managing large data sets preferred
  • Excellent written and verbal communicator (listening and writing) 
  • Detail-oriented and able to accurately meet deadlines
  • Proactive, able to identify potential issues and brainstorm solutions 
  • Results-oriented and committed to learning and continuous improvement
  • Mission-driven with a passion for fostering social, economic, or environmental change

Compensation: Competitive for early-career position. Benefits negotiable.
