The Georgia Strait Alliance is a solutions-focused non-profit organization working to promote awareness of the importance of the Georgia Strait marine environment and ways to protect it.
Position Overview:
We require an Administrative Assistant to join our team working out of our Nanaimo office. The ideal candidate will have experience in a non-profit environment, enjoy being in a key support role working on a wide variety of tasks in a dynamic environment, be detail oriented, and able to work independently as well as part of a regionally based team.
Responsibilities:
- Membership Services/Donor relations: Serve as primary donor contact, keeping member/donor and other contact database information up to date; manage the processing and depositing of all donations including sending out tax receipts and other correspondence and processing monthly donations; manage large mailings such as newsletters and e-newsletters; ensure Business Partners recognition.
- Communications: Provide main reception for phone and in person contact in office; ensure requests for information from donors, media or the public are responded to in a timely manner; write for the purposes of communicating with our supporters and promoting our organization for fundraising; keep general information on our website up to date.
- Community Outreach and Fundraising: provide logistical and administrative support for community outreach and fundraising events throughout region, including applying for licences, promoting events, tracking donors and attendees, arranging food, equipment, accommodation, etc; provide support to organizational fundraising efforts.
- Administration, Financial and Office Management: Maintain up to date office files and office calendar; ensure adequate inventory of mailing supplies, publications and outreach equipment; maintain office inventory including items for sale; deposit all receivables and report to Financial Coordinator; support Board of Directors; and manage all outreach equipment.
- Volunteer Coordination/Program Support: Act as primary volunteer contact, maintain volunteer database and engage volunteers whenever possible. Provide administrative and logistical support for our programs including tracking of program participation, sending out mail/materials, invoicing and receipting for items/services; provide support to our Vancouver office and program staff throughout region.
- Organizational Development: Contribute to organizational development by actively participating in staff meetings and strategic planning meetings of the board and staff.
Qualifications:
- Candidates must have previous experience working with all Microsoft Office programs and be familiar with searching for information on the internet and using social media.
- Knowledge of computer systems and online technology would be an asset, as would any background in financial management.
- Ideally this person has 5 years experience working for a non-profit organization and in a small office environment along with a strong desire to improve our regional environment.
- Flexibility, a positive attitude towards the work and new challenges as well as a desire to contribute to continually improving and streamlining our operations are a must.
