Position Purpose

The Land Management Administrator is responsible for the initial processing of all new land agreements and providing landowner support for Avangrid Renewables’ Wind and Solar assets in development, construction, and commercial operations. In addition to adhering to and enforcing internal processes and business controls, the Administrator will ensure that lease and contract abstractions are entered into the SAP RE land system properly, oversee and assure completion of vendor set up in SAP RE, provide assistance and support to landowners, monitor and support the document recording and tracking process, and provide support to the various internal and external partners of Land Management. Additional responsibilities include, but are not limited to:

Responsibilities

  • Land Records Management:
    • Researching and verifying lease data such as legal descriptions, property ID numbers, and changes in ownership
    • Locating land contracts and supporting documents for internal and external audit requests
    • Examining property transfer requests and confirming new ownerships by comparing legal descriptions in leases with new deeds. Updating SAP RE with new information.
    • Generating quarterly Lease Expiration Reports. Review Reports with Development Team when requested by the Land Transaction Manager
    • Supporting Legal Department in preparation of renewal and termination notices
    • Making sure all finalized agreements are delivered to the Contracts Manager
    • Ensuring security protocols are met to protect data
  • Document Recording:
    • Overseeing Clerk’s efforts when sending land contracts out for recording in respective Counties - responsible for confirming signature blocks, notary blocks, review of all Exhibits and attachments to assure inclusion, and proper formatting (that document margins are correct) in accordance with the recording standards of the subject County
    • Tracking recording process to assure that contracts are recorded within 60 days; or if not, that Counsel or vendor responsible for such recording has been notified.
  • System Entry:
    • Following approvals by Legal, abstracting recurring, one-time, and divided payments (if individual Vendors have business partners requiring separate payments).
    • Confirming that Clerk has scanned and entered scanned documents into SAP RE
    • Confirming that Analyst has entered payments and assigned Rental Objects in SAP RE
    • Confirming that Clerk has finalized Vendor set-up and established Vendor #’s
    • Updating all information pertaining to property transfers.
  • Landowners / Stakeholder Support:
    • Supporting Landowners regarding contract terms and property transfers
    • Updating Landowner contact information with the support of the LM Clerk
    • Routing and Tracking all documents from Developers, Legal or Land Management for signature, notarization, recording, filing, etc. with the support of the LM Clerk
    • Supporting Analyst, as necessary, to assist Landowners with payments
    • Help with Escrow involving purchase or sale of properties

Qualifications

Skills and Requirements:

  • Knowledge and understanding of real estate laws and principles
  • Minimum of five years’ experience working with land management or recording and/or real estate contracts
  • Bachelor’s degree in a relevant field of study, (i.e. Business, Accounting, etc.); or, equivalent combination of technical training & experience.
  • Strong attention to detail and strong written/oral communications skills
  • Experience with legal descriptions and land records.
  • Strategic orientation with excellent planning, organizing skills, flexibility, and customer focus.
  • Computer skills utilizing word processing, spreadsheets, email, management and reporting systems.

Preference may be given to the following candidates with:

  • Leasehold portfolio management (preferred but not required)
  • Experience working with renewable energy land agreements
  • Oregon Notary Public (or willingness to obtain certification)
