~ On July 1, 2019 the historical Walloon Lake Association (WLA), founded in 1910, merged into the Walloon Lake Association and Conservancy (WLAC), one of the oldest land trusts in the State of Michigan, founded in 1978. ~

These sister organizations worked in tandem for nearly 40 years to protect and conserve the natural beauty of Walloon Lake and its surrounding lands for future generations. New leadership in the spring of 2017 and because of an increased focus on organizational capacity building, the course was set in 2018 to bring the resources of the WLA and WLAC together.  The merger of the WLA and WLAC would streamline office functions, develop more impactful and unified messaging to increase stakeholder engagement and to better deliver on the mission to protect the most beautiful lake on the planet.

The newly formed Walloon Lake Association and Conservancy’s (WLAC) mission is to conserve, care for and enhance the connection of people to Walloon Lake and its watershed, now and forever. The WLAC is an oddity in the conservation community in that it is a hybrid of a lake association and land trust. We view our uniqueness as a strength. We are a non-profit (501C3), membership-based organization. We have 17 Trustees and 5 full-time staff members with an additional 1-2 interns every summer.  Through 12 Committees we are able to tackle lake and land issues; from boater safety, government relations, aquatic invasive species control to land conservation, preserve stewardship and public education. Additionally, the WLAC is pursuing Land Trust Alliance Accreditation in 2021. The right person will see this extra-ordinary combination as a unique opportunity to protect lake and land in one of the most beloved scenic areas in the country.

We are a small but mighty team that helps form lifelong connections between this amazing little piece of the world and the people who live, work and play in Walloon. You: love interacting with the public, know your way around a spreadsheet or database, are good with names and faces, easy-going and have a great sense of humor!

Position Overview

The Office Administrator handles the day to day office functionality to ensure proper flow of office procedures, and supports the Executive Director,  Program Directors and committees by carrying out common office duties. The Office Administrator upholds the image of the WLAC by maintaining a positive and friendly disposition as the first line of contact to visitors, customers and vendors in person, online and via telephone. This position reports to the Director of Financial Operations. 

Responsibilities

  • Answers and directs phone calls and greets guests
  • Manages daily processing of mail and bank deposits – in coordination with the Director of Membership and Financial Operations, and best practices
  • Manages the preparation and post-meeting process for the Board and Committee meetings, working collaboratively with Board members and staff to implement meeting needs before, during and after meetings
  • Manages archives; ensuring complete, accurate files based on policies and best practices
  • Manages the input of memberships and donations into Salesforce Database to ensure accuracy based on best practices
  • Co-ordinates and inputs committee volunteer hours to Salesforce Database
  • Works collaboratively with team members to create reports and mailing materials through Salesforce Database
  • Leads/assists team members in the development, production and dissemination of external communication materials, including newsletter, press releases and fundraising materials and social media
  • Assists Director of Membership and Financial Operations and Membership committee with the development and execution of new membership programs and events 
  • Updates the WLAC website with changes as necessary
  • Maintains up-to-date Director’s Handbook
  • Updates job knowledge by participating in educational opportunities and professional development
  • Performs other duties assigned from time to time

Qualifications

Personal Competencies:

  • Enjoys interacting with the public
  • Demonstrates the ability to prioritize workloads, balance multiple duties and is highly organized
  • Computer literacy – Word, Excel, Salesforce Database or other CRM experience
  • Manages time, completes tasks and meets deadlines with accuracy and completeness
  • Creates and maintains relationship with outside vendors
  • Maintains confidentiality and a high level of professionalism
  • Promotes the mission and interests of the WLAC to the internal membership community as well as the greater community
  • A passion for natural resource conservation and protection

Education + Experience:

  • Working towards a post-secondary degree or certification  
  • Previous work experience preferred
