Position Overview:

This posiiton is responsible for the efficient operations of administrative functions across BGI. In addition to ensuring knowledge of all staff, and the resources required to perform their jobs, the position serves as the coordinator for daily operations held in the Seattle Office and assists with internal events as needed. 

The sucessful canidate will act as the "receptionist" for the office, greeting and directing student, alumni, faculty, staff, and visitor inquiries. In addition, this position provides staff assistance to the administrative and support staff as prioritized by the Provost/Dean. You will report to the Human Resources/Budget Officer (after an initial orientation with Provost/Dean)

The work location is at the BGI Seattle Campus. There may be some extraordinary working conditions: occasional travel between Islandwood and Seattle campuses, with possible weekend work in support of BGI's Intensives.

Responsibilities:    

First point of contact:

  • Provide excellent customer service support via telephone for all incoming calls to BGI, bearing in mind that this is likely the first impression for potential students.  
  • Ensure basic school information and follow-up is quickly communicated to callers in support of recruiting and general customer service.  
  • Receive, route, and perform all other requests received via telephone and select e-mail inquiries.  
  • Greet all visitors to the BGI offices and host them until they are received by the BGI staff member being visited. 
  • Provide recruitment with data on all incoming leads.

Office management & administration:

  • Ensure that both BGI offices have adequate supplies and that each is capable of being self-sustainable and functional.  
  • Ensure that the premises are clean and presentable at all times, and coordinate with the VP of Finance and Operations and/or building manager to correct any deficiencies. This includes classrooms, kitchen, and all common areas, and may include some light cleaning in certain circumstances. 
  • Provide support to communications team to ensure the space is organized and tidy prior to large events.

Administrative support:

  • Helps the President and Vice Presidents leverage their time by helping in the scheduling as needed and prioritized by the Provost/Dean.  
  • Ensures that BGI mail is collected and expeditiously distributed to recipients, and ensures that outgoing mail is posted daily. 
  • Provide other general support items as mutually agreed upon.

Electronic document storage:

  • Ensure that critical documents are scanned and stored for easy retrieval and protection.  
  • Control the movement and cataloging of documents going to offsite storage.

Qualifications:

Knowledge & Skill Requirements: 

  • Excellent communication skills on telephone and ability to direct callers to the appropriate personnel in order to effect a timely and efficient solution to potential students, BGI customers, and vendors.
  • Good organizational skills and the ability to manage multiple tasks simultaneously.
  • Attention to detail to ensure accuracy of financial and student information.
  • Basic understanding of BGI's accounting system and ability to know/direct accounts receivable/payable to appropriate budget office staff. 
  • Knowledge and/or experience with contact databases, such as SalesForce.
  • Good verbal and written communications in support of the faculty and staff at BGI.

Educational Requirements:

  • High school education required.
  • College degree or equivalent experience preferred.

Compensation: Salary grade for this position is: Grade 3.
