Position Overview: 

EnerNOC is seeking a part-time New York Receptionist and Facilities Assistant to support our New York office on Wall Street.  This position will report to the Manager of Facilities and Administration and is an ideal opportunity for current students seeking temporary part-time work and/or experienced candidates seeking permanent part-time work in Facilities Management/Office Administration.

Responsibilities: 

In addition to other general administrative tasks, the Receptionist and Facilities Assistant will be responsible for the following:

  • Greet all incoming guests and answering auto attendant-routed phone calls and direct communications accordingly
  • Serve as point of contact for all office maintenance requests/issues. Work with property management company to ensure problems are resolved in a timely manner
  • Assist with coordinating any office renovation projects
  • Serve as point of contact with suppliers and place orders on the company's behalf. Manage procurement process for all suppliers servicing the NY office.
  • Serve as point of contact for office equipment issues and maintain vendor accounts
  • Monitor monthly expenditures for teleconferencing expenses, office supplies and catering orders while consistently looking for ways to reduce costs.
  • Continuously seek out opportunities to improve office processes and reduce office expenses.
  • Order all kitchen and office supplies
  • Maintain orderliness of conference rooms, copy areas and the kitchen on a daily basis
  • Maintain up-to-date calendars for conference rooms
  • Work with the administrative and HR team to plan company events
  • Maintain a clean and organized office with special focus on reception and common areas at all  times
  • Provide general office support as needed including copying, scanning, and faxing
  • Distribute incoming packages and mail and process shipping of outgoing packages
  • Schedule and coordinate  in-office meetings and teleconferences
  • Perform other duties as required

Preferred hours are Monday through Friday, 9:00am - 1:00pm; schedule may be flexible, provided the candidate can work the same four hours every day.  Additional hours may be available as required by the business, but the Receptionist and Facilities Assistant can expect to consistently work 20 hours per week.
