The ASUC Auxiliary operates the Campus Student Union at Berkeley as a financially self-supporting division of the University of California. The ASUC Auxiliary provides financial and accounting services and student affairs advising services to ASUC Government Offices, Graduate Assembly Executive Officers and over four hundred student groups and forty student publications. The ASUC Auxiliary supports the campus sustainability effort by overseeing the Green Initiative Fund Grants Coordinator position.

Position Overview:

The Green Initiative Fund (TGIF) Grants Coordinator assists in the administration of a program to dispense approximately $250,000 per year for environmental sustainability projects on campus. The incumbent plays a vital role administering the day to day operations of The Green Initiative Fund (TGIF) and supporting the annually-appointed Grant Making Committee of students, faculty, and staff as they evaluate project proposals. The Grants incumbent markets the TGIF program to the campus community.

The incumbent is also the historian and archivist and writes the annual report for the program. Specialized knowledge of the Sustainability field is integral to the success of this position. The Grants Coordinator will also coordinate the e-Flyer/e-Signage program for the ASUC Auxiliary.

Responsibilities:

Grants Management & Planning (45%):

  • Assist the Grant Making Committee to formulate and execute plans for all outreach and publicity efforts; develop strategic initiatives to help streamline the grant-making process; and do research and compile any documents necessary to help evaluate project proposals and project success
  • Manage the grant proposal submission and review process, including advising projects on project planning and application, answering questions from grant applicants, collecting applications, and notifying grant recipients
  • Manage the grant awarding process, including disbursing funds to grant recipients, collecting receipts for funds spent, and collecting any monies to be paid to the fund. Ensure that grant recipients spend TGIF money within scope of the designated project

Financial Reporting (20%):

  • Provide financial oversight of TGIF funds as they are accrued, awarded, and repaid. Ensure all audit requirements are met
  • Prepare the TGIF’s annual report of budget and projects funded. Maintain the archives of the TGIF, including project reports submitted by grant recipients, minutes of the Grant Making Committee meetings, records of all projects funded by year, copies of TGIF annual reports, and copies of reports submitted by TGIF to campus entities. Maintain TGIF’s website and print material

Outreach (30%):

  • Act as a spokesperson for TGIF on- and off-campus; act as liaison between TGIF and UC Berkeley
  • Coordinate the e-Flyer and e-Signage program which includes review, approve and post submissions, from student groups and other campus entities, of content for posting on the plasma screens to ensure that they meet campus and department requirements
  • Review submissions of the campus student calendar to see that they meet the same requirements. Review and maintain records associated with the plasma screen e-Flyer/ e-Signage program
  • May be assigned other duties in the Business Office to meet operational needs or other duties as assigned

Professional Development & Training (5%):

  • Participate in professional development that enables the staff member to stretch and grow; includes work on committees, special projects and cross training. Also includes formal and informal coaching and mentoring, regular and conference attendance. Participate and contribute to staff meetings
  • Maintains current knowledge on trends and practices in the industry

Qualifications:

  • Bachelor's Degree in Environmental Policy, Science, or related field 
  • Work experience in student affairs/advising
  • Financial skills to manage grants including basic accounting, budget planning/tracking, financial analysis, and report writing
  • Knowledge of environmental issues and enthusiasm for environmental sustainability
  • Ability to work with a variety of stakeholders and a diverse group of people
  • Computer skills including Microsoft Word, Excel, PowerPoint, and Outlook
  • Excellent written and verbal communication skills with strong attention to detail
  • Project and time management skills to track, monitor and complete projects
  • Ability to prioritize, multi-task, and complete work with competing deadlines
  • Ability to work independently and as part of a team
  • Strong interpersonal communication and public speaking skills
  • Basic knowledge of database use and web content management (preferred)
  • Computer skills in design software (i.e. Adobe Photoshop, InDesign, Quark) (preferred)
