Bonneville Environmental Foundation (BEF) is a national, nonprofit organization. Our mission is to support the development of renewable energy and watershed restoration while empowering people to shrink their carbon footprint.
Position Overview:
We are seeking an Administrative Coordinator to work with staff and management supporting the Foundation’s administrative functions.
Reports to: Vice President, Administration
Hours: Monday - Friday, 8:00 - 5:00
Responsibilities:
- Answer phones and take messages
- Open & distribute incoming mail, ship & receive packages
- Run errands as necessary
- Maintain Board/Staff Contact Lists
- Maintain calendars
- Make office coffee, stock fridge & order drinks when they run low
- Maintain general office tidiness & cleanliness
- Manage recycling/trash
- Coordinate Board, Staff and Committee Meetings; set up satellite phone, arrange conference calls, assemble and distribute meeting packets, arrange venue, arrange catering.
- File Documents: maintain filing lists, make new files when necessary
- Maintain Furniture and Equipment Inventories
- Assist Vice President, Administration
- Assist President & CEO with calendar & scheduling
- Assist President, CEO & Senior Staff with travel arrangements, event registration, meeting scheduling, and contact list data entry
- Assist in contract process
- Other duties as assigned
- Work in a cooperative fashion
Qualifications:
1 year of relevant experience plus a college degree or 3+ years of relevant experience; working knowledge of Microsoft Word, Excel and Powerpoint
Candidate Must Have:
- Stellar communication/interpersonal skills: The Administrative Coordinator works with the public constantly, whether it be answering the telephone, greeting guests or arranging meetings. This person should be friendly and enjoy working with people.
- Flexibility: The Administrative Coordinator’s duties are highly varied, so flexibility is key. It is not unusual for this person to be interrupted or asked to switch gears several times a day. We are looking for someone who is focused, levelheaded, easy-going and cool under pressure.
- Strong computer skills: The Administrative Coordinator must be proficient in Word, Excel and PowerPoint. This person must have strong Internet skills and be a quick study in all things technological. We operate a Mac office, so familiarity with Mac is preferred.
