Waterkeeper Alliance is an environmental non profit organization that supports and connects over 180 local Waterkeeper programs - full-time paid advocates who serve as investigator, scientist, educator and lawyer for their waterway. Position Overview:
The primary responsibilities of the Data Management Associate is to maintain records in the donor management database and process financial information and transactions. This position reports to the Director of Fund Development.
Accounting Responsibilities: (approx. 40%)
- Input accounts payable, accounts receivable, cash receipts, wires and other financial transactions, reviewing coding information for accuracy;
- Record incoming checks in check ledger and draft daily deposits with correct coding information.
- Review, route and process vendor invoices, credit card statements and employee expense reimbursement forms for accuracy and adherence to WKA policies and procedures
- Assist financial services vendor in maintenance and preparation of records for annual audit and 990 filing, including restricted grants and $5k + contribution records.
- Execute bi-weekly payroll journal entries to financial system and reconcile and process AXA 403b payments.
Development responsibilities: (55%)
- Update and maintain accurate information in the donor management database, Donor Perfect, including individual, corporate and foundation donors' private information, gifts, benefits, visits and activities, etc.
- Assist the Director of Fund Development in tracking and reporting fundraising results for programs and constituents using Donor Perfect, MS Excel spreadsheets and other tracking tools.
- Coordinate with the Communications and Marketing team to ensure distribution lists and donor records are properly in sync for the magazine and other publications.
- Coordinate with direct response vendors to ensure distribution lists and donor records are updated and in sync for traditional mail, email and other web-based communications.
- Prepare and distribute matching gift forms and information.
- Generate and distribute appropriate gift acknowledgements to donors: individuals, foundations and corporate donors from online sources, direct mail and events.
- Assist Director of Fund Development with the preparation and distribution of solicitation packages for major funders and donors.
- Ensure that the Donor Perfect records are in sync with Fund EZ financial records.
General Administrative responsibilities: (5%)
- Liaise with vendors, consultants and suppliers related to the above responsibilities, including Direct Mail Processors and Payment Solutions.
- Open, sort and distribute mail and packages.
- Participate and represent WKA at outreach and fundraising events as necessary.
- Other duties as assigned.
Qualifications:
The successful candidate will have strong communication and organizational skills with superior attention to detail and accuracy. Candidates should have strong skills in Excel, Outlook, internet search and database applications. Knowledge of financial and fundraising systems, particularly Donor Perfect and Fund-EZ, is a plus. The ideal candidate will be environmentally aware, energetic, well-organized, independent, hard-working, good-humored, dedicated and reliable.
