Position Overview:

Reporting to the Associate Director, Office of Academic
and Research Programs (OARP) the incumbent will be responsible for managing wide ranging internal functions in support of the overall academic governance, education programs, and research administration of the Earth Institute. This includes supporting the Earth Institute faculty and related committees, assisting new collaborative projects, managing processes related to new and existing programs, such as internship administration, course support and a variety of events to promote research collaborations and education.

The incumbent will be responsible for overseeing the scheduling, planning and staffing meetings, managing the progress of action items and following up on those items, as necessary, to ensure timely completion. S/he will be responsible for writing, editing, and compiling a bi-weekly newsletter and for representing the Office and the Earth Institute to internal and external constituents.

Other responsibilities will include tracking budget items and database information, monitoring and following up to make sure all information is current and accurate, and office management. The incumbent will support the Associate Director in managing progress on action items for initiatives of the Executive Director of the Earth Institute and the Chair of the Earth Institute faculty. The incumbent will also be responsible for other duties, as assigned by the Associate Director Office of Academic and Research Programs, Director, Office of Academic and Research Programs and the Executive Director of the Earth Institute.   

Responsibilities:

  • Provide high-level support for VIP meetings and various events:
    plan, schedule, manage attendance, record and follow up on action items, draft related documents, prepare materials. Manage logistics and other needs for meetings and events. VIP meetings include but are not limited to meetings of the Earth Institute faculty, the Executive Committee, the Appointments Committee, the Earth Clinic Steering Committee, and the Cross Cutting Initiatives Steering Committee.
  • Manage the Earth Institute Post-doctoral Fellows Program.
    Responsibilities include conducting outreach; managing the application process; staffing the applicant selection process; supporting special events for program participants; and, in
    collaboration with the Earth Institute's Human Resources Department, supporting program participants in resolving administrative matters as they come up.
  • Manage current projects of the Office of Education and Research Programs, including but not limited to new initiatives of high importance to Earth Institute strategic priorities and process management. Ensure progress, budget compliance, and documentation of certain grant-funded projects, integrated
    projects and priorities the office supports. Draft and edit website content as necessary.
  • All other duties as assigned.

Qualifications:

Bachelor's degree or equivalent experience and a minimum of 3 years of experience.

Excellent writing, interpersonal and communication skills necessary.  Must be able to function independently and to exercise discretion and judgment in sensitive and potentially controversial matters.  Must have excellent organizational skills and be extremely detail-oriented.  Broad computer skills required, including word-processing and databases.  Excellent analytical and research skills required. 

Preference will be given to candidates who have work experience and/or a degree in a field related to sustainable development and experience with administrative work handling multiple tasks with deadlines in a fast paced environment.  Experience with MS Excel pivot tables and project management software is a plus.
