Description
The Neil Jones Food Company is a US food processor producing Finest Quality Natural and Organic Tomatoes, Custom Sauce Blends, Northwest Fruits, Cranberry Sauces and Juice Concentrates. We are a privately owned, family-run corporation based in Vancouver, WA. We operate three processing facilities, all of which run on the tradition of excellence and high standards.
Position Overview:
We are looking for an experienced Sales Administrator. The sales administrator provides assistance and support to Sr. Management, Director of Food Service Sales and Regional Sales Department on complex and confidential assignments requiring independent judgment and frequent use of discretion. May also provide support to multiple high level managers as assigned.
Work Environment:
- Majority of work requires sitting at a desk or computer terminal for up to 8 hours per day, occasionally traveling between departments or buildings.
- Overtime required as needed.
- Must be able to hear, speak and see clearly.
- Frequently required to lift and/or carry objects weighing up to 10 lbs. e.g. files, binders, samples
- Travel rare but could be up to 10%.
Responsibilities:
- Act on the on behalf of the executive(s) in their absence in the collection and dissemination of information.
- Coordinate meetings for internal executives and external clients; includes ensuring all necessary accommodations have been considered and provided (phone/video conferencing, presentation needs, net meetings, accommodations, meals, etc.).
- Coordinate complex national and international travel schedules for executives, senior level managers and guests; may travel with group as requested.
- Manage the control and dissemination of highly sensitive and confidential corporate information.
- Coordinate and manage a variety of projects of a general to complex nature.
- Create complex computer documents including spreadsheets, advanced Power Point presentations, databases, speeches, etc.
- Provide Sales team support for all needs relating to collateral, program, and marketing initiatives.
- Develop and maintain files (electronic and paper).
- Interact with internal and external customers, providing information and answering questions.
- Coordinate with regional or departmental staff on corporate initiatives, issues and/or projects.
- Research, develop and present findings to department management staff independently or as requested.
- Compile and maintain complex sales spreadsheets for Regional Sales Manager (RSMs) e.g. travel budgets for review purposes., RFPs, gains/losses, inventory balances; runs sales reports as needed.
- Input/update customer master for buying groups to ensure accurate reporting.
- Publish expiring promotional allowance spreadsheets to RSMs weekly.
- Assist with marketing form entry on behalf of RSM.
- Liason between Supply chain and sales when traveling; product availability to cover shortages, possible subs, forecast data, etc.
- Calls distributors on items that with non-moving inventory.
- Makes courtesy calls to end users recently converted to our products.
- Assist with distributor reviews, programs, presentations, recap trade spend, etc.
- Assist with deductions, route or respond to routine correspondence not requiring executives attention; develop correspondence for signature.
- Participates on cross-functional project teams to execute strategic initiatives.
- May provide day-to-day guidance and/or directly supervise office staff.
- Identifies and resolves problems in a professional, timely manner.
- Perform all duties in accordance with safety rules and regulations.
- Perform other duties as necessary.

Education:
- High school diploma required.
- Associates degree or some college preferred.
Experience:
- 3-4 years of demonstrated administrative or sales support experience.
- Or any equivalent combination of experience and training that demonstrates the ability to perform the key responsibilities of this position.
