Position Overview
OGC is seeking a Receptionist/Administrative Assistant to be based
out of its Portland location. With warehouses
in Portland and Eugene, Oregon and Kent, Washington, OGC serves over 200
natural and fine foods stores and restaurants located throughout western Oregon
and Washington, as well as retail and wholesale accounts in other western
states and Canada.
This position is responsible
for greeting the public and providing excellent
customer service in person and on the phone, while representing the company in
a professional manner at all times.
They are also responsible for directing walk-in customers and visitors to the appropriate location or
OGC employee. This position is also responsible for providing administrative
support to the CEO and other executive management.
Responsibilities
- Receives
incoming calls and routes to appropriate extensions. - As necessary, screens calls to determine the
appropriate contact for caller when requested contact is unavailable or when
caller does not have a specific name. - Maintains
attendance calendar for staff to provide callers with accurate employee
information. - Also reviews and routes
night/weekend messages. - Oversees the
conference room calendar and coordinates various company meetings, conferences,
and conference calls. - Reserves meeting
location and coordinates catering and any other special requests. - Coordinates
travel arrangements company-wide including air/train travel, car rental and
hotel accommodations for conferences, trainings, destination meetings. - Maintains list of preferred airlines, rental
agencies and hotels. - Process
pick-tickets for will-call, brokerage, staff and same day delivery orders. - Reviews invoices to ensure they match ticket;
corrects errors; collect payments from will-call customers. - Matches payments to invoices and checks for
errors. - Identifies missing documentation
and addresses as appropriate following established guidelines. - Maintains
filing system for invoices and accompanying documentation. - Scans and uploads new invoices and other
customer account information and documentation into ERP. - Sorts, scans, labels and organizes accounting
records. - Sorts and
distributes incoming mail and faxes to include bi-weekly pricing update. - Prepares and routes outgoing mail including overnight express and certified mailings.
- Prepares and routes Fed Ex and UPS
packages for delivery as needed. - Using
various software programs including Word, Excel and other OGC software systems,
generates correspondence and other documents as directed which may include
letters, memos, labels, forms, policies and procedures (includes handling of
confidential information). - Provides
administrative support and data management to other departments as needed to
ensure adequate internal and external customer service. - Provides
general administrative support, copier projects, supplies control and necessary
communications internally and externally. - Orders office and break room supplies and maintains supply inventory for
Portland and Kent facilities. - Provides
backup to Executive Assistant for administrative support for the CEO and other
executive management as directed including calendar maintenance and scheduling;
meeting agenda/meeting minute preparation; making travel/meeting arrangements coordinating
catering; preparing/distributing reports and financial data, etc. - Provides
back-up support to other members of the finance team as needed to ensure
adequate internal and external customer service. - Performs other duties and special projects as assigned.
Qualifications
- Position
typically requires a High School diploma, or equivalent with a minimum of 3
years of office administration and reception experience. - Must have the ability to work well with all
levels of internal management and staff, as well as outside clients and
vendors. - Experience in a team environment producing results in conjunction with
fellow team members required. - Experience with workplace longevity--working a
required schedule; showing up consistently and on time. - Previous work
experience or knowledge in produce/food warehouse or distribution environment
preferred.
Compensation: Pay range: $12.71-$19.86/hr
