Description
EcoViva, a non-profit organization based in Downtown Oakland dedicated to supporting social and environmental justice in Central America seeks part time (3 days/week) Operations Manager.
EcoViva works in partnership and solidarity with low-income communities in Central America organized to achieve environmental sustainability, economic self-sufficiency, social justice, and peace. The vision, initiative, organization, and implementation of the projects we support come directly from the communities with whom we work.
Responsibilities:
Financial Management:
- Fulfill all bookkeeping tasks using Quickbooks
- Manage payroll and pay all bills in a timely manner
- Process donations and make deposits at the bank
- Prepare quarterly financial reports for Executive Director (E.D.) and Board
- Complete monthly reconciliation
- Prepare yearly audit and IRS forms
- Assist E.D. with calculations for organizational and program budgets
- Manage petty cash and staff reimbursements
Donor Development and Administrative Support:
- Prepare thank you letters and tax receipts for donors
- Update and maintain donor database
- Provide data export and administrative coordination for mailings
- Receive and track application forms and payments for Community Empowerment Tours
- Track reporting deadlines for grants made and received
- Support the Executive Director with research and administrative tasks as needed
Office Management:
- Maintain all office systems and organizational filing systems
- Maintain/oversee equipment acquisition, maintenance, and repair
- Maintain & order office supplies
- Respond to informational requests, coordinate visitors
- Oversee office upkeep
- Process incoming and outgoing mail
- Post all legal notices in the office
- Complete and return all forms that are mailed to the office
Qualifications:
Job Requirements:
- Knowledge of and experience with Quickbooks
- Knowledge of non-profit accounting
- Expertise in Excel and all Microsoft Office programs
- Relational database management experience (such as GiftWorks)
- Proficiency in Spanish, reading, writing and speaking
- Administrative or Office Management experience
Desired Qualifications:
- Experience working in Latin America, or with Latin American solidarity groups
- Understanding of /interest in furthering the mission of our organization
- Knowledge of HR and non-profit personnel policies
- Teambuilding skills
- Basic computer troubleshooting
