About the Role
The Alliance for a Green Economy (AGREE) seeks a full-time Operations Director to support the internal systems that keep our 12-member nonprofit team running smoothly. Reporting to the Executive Director, the Operations Director will work closely with leadership to oversee the organization’s finances, staff benefits, organizational policies, logistics, and compliance processes. This role is ideal for someone with nonprofit management experience who is detail-oriented, people-centered, and motivated to strengthen the operational backbone of a mission-driven organization.
Location: Full-time | Hybrid, Central New York
Key Responsibilities
- Human Resources & Staff Support
- Manage staff hiring processes, onboarding and offboarding for all AGREE systems and platforms
- Track staff PTO, timesheets, reimbursements, and benefits enrollment
- Coordinate annual staff evaluations
- Coordinate and ensure all staff compliance with sexual harassment training requirements, lobbying reporting reporting requirements, and other similar requirements
- Develop and administer staff surveys to improve and support staff retention and happiness
- Research, develop, and implement new staff benefits and policies
- Maintain HR notices, records, and compliance documents
- Ensure employee files are up to date and secure
- Keep the staff handbook up to date and ensure staff understand the handbook and follow policies therein
- Operations & Administration
- Improve, develop, and operationalize procedures (e.g. admin manual, annual calendar)
- Facilitate weekly staff admin meetings and support leadership in planning processes
- Oversee and maintain organizational systems such as Slack channels, Google Drive permissions, and tech access
- Manage our office space in coordination with Outreach Coordinator and Volunteer Coordinator to ensure space is tidy and functional for staff and volunteers
- Ensure accurate recordkeeping, compliance reporting, and policy updates
- Ensure security of our files and systems
- Assist in preparation of financial reports for board meetings
- Support the Executive Director and Deputy Director in planning staff retreats, appreciation parties, and fundraising events
- Finance & Payroll
- Oversee preparation of payroll for processing and liaison with our payroll processor in collaboration with the Executive Assistant
- Oversee bookkeeping and manage expense tracking and staff member reimbursements
- Provide support to the Executive Director during the annual audit and other financial reporting and compliance
- Oversee preparation of invoices
- Assist in budget development
- Audit and track staff benefit funds (cell phone, technology, home office, professional development)
- Send AGREE donors their donation receipts along with a note of thanks
- Managing donor records in Actionnetwork and ensuring records are up to date and easy to navigate
Qualifications
- At least 5 years’ experience in managing operations, administration, HR, or nonprofit management
- Project management experience
- Experience with payroll, HR systems, or nonprofit administration
- Strong organizational skills and attention to detail
- Proficiency with financial, document, and project management systems, such as Quickbooks, Expensify, Google Workspace, Asana, Slack, Excel
- Ability to support staff with patience and empathy, including helping colleagues navigate HR processes and workplace policies
- Strong interpersonal skills and the ability to foster trust and positive working relationships across the team
- Excellent communication skills, with the ability to explain policies and processes clearly and provide guidance in a supportive way

- Ability to manage multiple projects and deadlines with reliability and discretion
- Willingness to work a flexible schedule, including occasional evenings or weekends if needed
Compensation & Location
This is a hybrid position for candidates based in Central New York, with some in-person tasks and meetings required. Salary range is $60,000–$70,000, commensurate with experience, plus benefits including generous PTO, 100% employer-contribution for self-only health, vision, and dental insurance, professional development, and more.
