Position Overview:
The Operations Associate will be responsible for managing day-to-day business operations and administrative support at Groundswell, including IT and HR needs, as well as providing administrative support to the Operations & Finance Director.
Responsibilities:
Specific areas of responsibility for the Operations Associate include, but not limited to:
HR/Personnel:
- Coordinate recruitment of new staff and fellows including support with screening candidates
- Orient and provide support to new staff and fellows.
- Assist staff with inquiries regarding organizational policies and procedures in a timely manner.
- Help coordinate professional and leadership development opportunities, including seminars, discussions, team-building, and other activities.
- Positively contribute to a work culture that prides itself on hard work, respect, and effective collaboration.
Administrative:
- Provide administrative assistance to Operations & Finance Director.
- Liaise between organization and lessor / building management.
- Maintain a professional, organized, and well-supplied office space and complete day to day office tasks.
- Create or update internal operational documents, including procedures and policies.
- Maintain organization records, complying with 100% paperless policy.
Accounting:
- Conduct basic bookkeeping and financial management.
- Liaise with vendors and clients, including correspondence, reporting, billing, and processing payments.
- Assist with reporting for federal, state and local grants.
IT/Technical:
- Provide basic technical support to personnel on use of phones, printing / copying / scanning, and other devices.
- Manage organization's IT productivity and CRM suite, including Salesforce, Google Apps, Box.net, and other cloud-based platforms.
- Provide basic support for website maintenance, including editing and posting content.
- Maintain organization Intranet as a first source of internal information for personnel.
Qualifications:
An ideal candidate will have the following qualifications, skills and experience:
Required:
- Bachelor's degree and at least 2 years of administrative experience.
- Highly reliable individual. Must be able to manage assignments of various priority and duration. Must be able to respond quickly to requests for support from staff and leadership.
- Comfortable working independently and can demonstrate initiative.
- Commitment to creating an equitable clean energy economy.
Preferred:
- Intermediate IT Experience.
- Accounting knowledge and experience.
- Experience with startup and fast paced organizations.
- Prior experience with Salesforce, Google Apps, Box, or other cloud based IT platforms highly preferred (please mention any experience in your application).
Compensation: Salary is commensurate with experience. Benefits include 403(b) retirement and matching, health, dental, and vision insurance, and 15 paid vacation days per year (starting).
Groundswell averages 14-16 paid company holidays (including all federal holidays and a week during winter holidays), adheres to a 37.5 hour work week with a compensatory time policy for over-time work, and, when job responsibilities allow, periodic flexibility in work schedule and location.
