Position Overview:
Detail oriented administrative specialist with a commitment to renewable energy required to fill position of Operations Administrator in groSolar's Maryland office.
This position covers 3 primary functions: incentive/interconnection coordination, office coordination and some general administrative support. This position is responsible for timely and accurate submission and completion of customer incentive and Net Metering applications for a six-state region.
This position acts as company's primary contact with the various State agencies and Utilities who grant incentive awards and approve applications. This position is responsible for timely and accurate entry of residential job information to the database, including key incentive milestones as well as sales entry. This position is responsible as the office coordinator of the Jessup office.
Responsibilities:
1. Incentive/Utility: Compiles all information required to submit Incentive and Utility Interconnection applications in the Mid-Atlantic six-state region of groSolar. Submits applications as appropriate to State Agencies and Utilities and tracks progress of those applications. Responsible for follow-up on application status as well as finalizing utility interconnection and rebate claims.
2. Data Entry: Enters customer/job information into NetSuite Database to facilitate job tracking; particular attention paid to incentive status and tracking. Logs all information relative to job activity accordingly in database. Tracks and edits job status according to individual milestones achieved. Enters Sales Orders and Change Orders into NetSuite as jobs are sold and submitted.
3. Customer Service: Acts as groSolar's primary contact with individual state agencies and utilities. Communicates incentive status to both customers and groSolar employees. Assists customers with understanding incentive process and facilitates timely completion of all customer data.
4. Office Coordination: Works with corporate headquarters and outside vendors to maintain a neat, organized, and welcoming work environment. Helps with management of office maintenance requirements. Responsible for organizing and maintaining all physical customers file folders. Greets visitors and assists with their requests/needs. Ensures that all office equipment is fully functional and supplies are available. Organizes and distributes incoming and outgoing mail.
5. Administrative: Processes Change Orders submitted by Operations and Project Management. Assists with administration of construction documentation and provides light administrative support to VP level staff in regional office.
Qualifications:
Technical Requirements:
Must have or acquire thorough understanding of a variety of state and federal programs designed to provide incentives to groSolar's residential customer base, and be able to keep abreast of program changes. Must have or acquire a basic understanding of Solar PV Electronics terminology: efficiency, watts, volts, amps, stringing, etc.
Required/Desired Skills:
Strong organizational aptitude, verbal and written communication and planning skills are required for this position. A positive customer service attitude is also essential. Accuracy and flexibility are required as this is a detailed paperwork processing position that frequently requires the ability to shift priorities with little notice. The ability to convey technical details to customer base in a clear and concise fashion is needed for this position. Comfort and ease in working with automated systems, database, standard MS-Office tools (Word, Excel).
Experience/Educational Requirements:
High School Diploma is required. Ideally will have an Associate's degree; Bachelor's degree preferred. A minimum 3 years experience in an office administrative environment; customer service experience is highly desirable.
Special Skills:
A high level of interest in solar energy and a desire to work in a company committed to combating climate change is important. An Introductory knowledge and understanding of solar industry, how solar energy works, basic understanding of system components and functionality is preferred.
