The Massachusetts Public Interest Group (MASSPIRG) is the state's leading advocate for the public interest. With over 50,000 citizen members and 23 college chapters, a staff of public policy experts, attorneys, organizers, and issue advocates, and a national office in Washington, D.C, MASSPIRG has been protecting the environment, fighting for consumers, and making government and business more accountable to the public since 1972.
The Office Manager oversees the day-to-day operation of our over 90-person Boston office, and is responsible for ensuring that the support structure is in place to enable us to do our public interest work in the most effective way possible.
1. Staff Management: The OM is a critical resource for the more than 90 staff in the Boston office, as well as the larger PIRG staff around the country.
Responsibilities include:
- Supervise MASSPIRG Administrative Assistant, oversee reception and daily operations of the office.
- Lead administrative team. Coordinate collaboration, training and social events.
- Organize Boston staff through senior staff meetings, special projects, creation and implementation of office policies, and organizing around social and political events.
- Coordinate visiting staff, facilitate visiting staff operations in the office and logistics.
2. Building and Equipment Maintenance: Creating, maintaining and improving the physical space and electronic system that allows efficient public interest work is a large part of the Office Manager job.
Responsibilities include:
- Oversee the physical office space. Work with the landlord and building management to address problems or make improvements.
- Acquire, maintain, evaluate and oversee all office equipment, train staff in the appropriate use and maintenance of their office equipment. Troubleshoot.
- Aggressively pursue innovations to the workspace and equipment to increase efficiency and achieve the best use of our resources.
- Serve as the primary vendor contact for maintenance and supplies.
3. Administrative and Budget Oversight: As a public-interest organization, it is absolutely essential that we use our fiscal resources in the wisest and most efficient way possible. The Office Manager is a vital part of this process.
Responsibilities include:
- Create, propose, oversee and track overhead budget.
- Find innovative ways to reduce overhead costs without compromising the work environment.
- Pay bills, track spending.
4. Events and Organizational Support: The OM coordinates numerous meetings, trainings, recognition events and retreats for MASSPIRG and State PIRG staff throughout the year.
Responsibilities include:
- Coordinate all aspects of events.
- Organize the administrative team and other staff to execute event logistics.
- Create, propose, oversee and track budget for events.
- Evaluate events and keep records to facilitate the planning of future events.
Qualified applicants should be goal-driven and results-oriented with a friendly and professional demeanor and a strong commitment to public interest issues. Excellent communication, leadership and organizational skills are a must. Creative thinking skills are important, as is the ability to juggle many different projects and priorities at once. Qualified applicants should be computer-savvy and have a working knowledge of most office machinery as well as a strong problem-solving ethic.
Candidates for this position could include people with three to five years of relevant experience. Relevant experience includes (but is not limited to) working in political, policy, legal, journalistic, or government settings. Advanced degrees, in related fields, may count toward a candidate's professional experience.
