Description

The Office Manager is responsible for the operational management, fiscal administration and information systems administration of the National Capital Office. The Office Manager also provides direct support to the regional office staff in the development and implementation of special projects and initiatives as identified by the Regional Director.

Responsibilities include

  • Manage administrative operations and infrastructure of the California/Southwest Regional Office, including office space, lease contracts, office supplies and equipment, telephone systems, mail distribution, FedEx, UPS deliveries, printing supplies, subscriptions, stationary and cleaning supplies, van lease and van operations. 
  • Manage phone answering and the reception of visitors to the CASW office in abidance with SCA's customer service standards. 
  • Manage CASW office alumni volunteer program in coordination with SCA's Alumni Director and regional office staff including the coordination of service events (Earth Day, Trails Day, National Public Lands day etc.). 
  • Provide human resources support to CASW office staff, including maintaining copies of all necessary forms and materials, provide orientation for all new employees on Human Resources standards, policies and benefits. 
  • Establish relationship with media outlets where SCA operates programs. 
  • Set up administrative systems for new programs in coordination with field program managers. 
  • Communicate with agency partners on intern requests and funding status of positions. 
  • Schedule, coordinate and maintain records of office meetings.

Fiscal Administration: 

  • Monitor regional office budget and financial activities, reporting any significant variances to the Regional Director. 
  • Maintain the imprest checking account, pay invoices, maintain local vendor accounts, and keep all necessary financial reports. 
  • Work with national Finance staff to assure timely payment of rent, paychecks, imprest account, and other expenses.

Information Systems Administration

  • Manage the information systems of the CASW office, including network administration, desktop and portable computers, installation of software and outside vendor supports as needed and approved. 
  •  Provide computer support to CASW staff, program members and office volunteers; provide internal trainings and/or identify external opportunities in the use of computers and software and enforce and implement SCA standards.

Staff Support

  • Assist in the completion of special projects as identified and assigned by the Regional Director and Regional Development Officer. 
  • Serve as primary contact when the Regional Director is traveling, and keep records of all the Director's travel arrangements and appointments. 
  • Provide additional support to other regional staff and programs as needed.
