Position Overview:
As the office coordinator you are responsible for supporting the operational aspects of the organization. You are a gifted cat-herder who can keep multiple balls in the air without losing your cool. You love engaging new people and thrive at being a point person for problem solving and at the front line of an organization. Efficiency is your middle name. You are a mix of creative thinker, organizational sustainer, and technical problem solver.
Responsibilities:
- Provide administrative coordination to a 20+ local team and remote staff
- Support the organization's IT structure
- Manage organizational events and facilities rental
- Maintain Salesforce database and support staff with Salesforce-related activities
- Train new and existing staff on internal systems and reporting/work flows for information sharing
- Coordinate performance review dates and provide documentation (completion and return of) for personnel files
- Assist with billing and payroll processes
- Manage appointment calendaring, travel, lodging, meals and meetings
- Manage incoming telephone and fax communications
- Review and respond to time sensitive e-mails and faxes
- Coordinate monthly expense/mileage reports and timesheets
- Contract processing (paper and electronic)
- Act as the first contact for clients and guests
- Contribute in a meaningful way towards EAI's mission and strategic objectives
Qualifications:
Required:
- Working knowledge of Salesforce database management
- Excellent client and guest relations
- Follow through on all tasks with high attention to detail
- Excellent oral and written communication skills
- Multi-tasking under pressure with ease
- A compelling mix of humor and critical thinking
Preferred Skills:
- Highly skilled with Salesforce database management
- Have broad IT knowledge to troubleshoot problems and maintain laptops, printers, software updates, company-wide equipment and software (Skype, Vyew, Basecamp, etc.)
- Understanding of billing and payroll processes
- Accomplished at event coordination
