Position Overview:
A leader in corporate responsibility since 1992, BSR is seeking a part time Office Coordinator as part of its Paris office.
The Office Coordinator will report to the Managing Director and will perform a wide range of detailed administrative duties to support consulting work, team management and office administration.
This will include leading the team's internal administrative office support, financial processes related to consulting projects and membership, coordination among teams, project invoicing, travel arrangements, budgeting, expense reports, and logistics for all internal and external events.
The position is part time based on 5.5 hours per day.
Responsibilities:
- Lead the team's internal administrative processes related to setting up, delivering and closing consulting projects in an accurate and timely manner.
- Partner with the Finance and Operations department in Headquarters to ensure project invoicing and office reporting is accurate and timely.
- Partner with the Human Resources department in Headquarters to ensure employee data processing is accurate and timely.
- Partner with the IT department in Headquarters to ensure IT coordination is accurate and timely.
- Lead the team's administration responsibilities related to membership including renewals, invoicing dues, and production of new member agreements.
- Manage the team's client and customer information in the Customer Relationship Management (CRM) database.
- Manage team information and deliverables in line with organizational information/knowledge management efforts, including managing both online and hard files, as well as information in the CRM and on the Intranet.
- Provide administrative assistance to Director level staff, including making travel arrangements, completing expense reports and other office support tasks.
- Manage team financial information and tracking. Monitor and report on the budgets of ongoing projects to project managers.
- Coordinate interviews and conference call logistics for both internal and external project needs.
- Lead logistics for working groups and other external meetings.
- Assist with event coordination, including BSR's annual conference, as necessary.
- Provide general administrative support, including faxing, supplies, filing, and photocopying.
- Other duties as required and assigned by the Managing Director.
Qualifications:
NOTE: Only candidates with these specific requirements will be considered:
- Fluency in French and in English required.
- BA/BS degree or equivalent combination of education, like License level in French system and direct work experience in professional business environment.
- 3+ years administrative professional work experience.
- Strong administrative and organizational skills.
- Knowledge, experience and a high comfort level working with the latest information technology including the Microsoft Office Suite.
- Experience using Excel spreadsheets for financial reporting.
- Expertise in Power Point functionality.
- Experience with SalesForce preferred.
- Excellent verbal and written communication skills.
- Capacity to work and thrive in a growing, fast-paced entrepreneurial organization with a collaborative environment.
- Ability to prioritize and juggle multiple tasks efficiently.
- Understanding of industry, business terminology and/or CSR language a plus.
- High ethical standards and commitment to BSR core values of Leadership, Respect and Integrity.
Compensation: Remuneration will depend on qualification and experience.
