Position Overview

The VSN Membership & Communications Coordinator is responsible for managing and implementing the membership and community public relations and communications strategies. The Membership & Communications Coordinator will develop relationships with donors and businesses, track donations, and develop fundraising appeals.  The Membership & Communications Coordinator will also ensure that VSN’s website, printed materials, marketing materials, social media accounts, advertising and public relations are professional and supportive of the organization’s strategic plan.

Duties/Responsibilities:

Membership Coordination

  • Manage and analyze membership records using Little Green Light database
  • Draft, print, and send thank-you letters.
  • Develop and send renewal and appeal letters.
  • Manage members in Mailchimp for e-news and appeals.
  • Develop strategies to grow membership and enhance member engagement.
  • Hold regular office hours to greet and assist visitors and community members.

Community Outreach and Event Coordination

  • Respond to public inquiries and resource requests.
  • Build relationships with local businesses, community organizations, and partners.
  • Participate in community events, farmers markets, and outreach activities.
  • Coordinate VSN’s presence at Conservation on Tap and other public events.
  • Collaborate with libraries and local groups for educational programming.
  • Manage event registrations, logistics, and volunteer/staff coordination.
  • Oversee planning for annual meetings, silent auctions, and fundraising events.
  • Set up merchandise and outreach materials at events.
  • Track and report on event outcomes and participation. 

Communications

  • Implement communication campaign themes and maintain brand consistency.
  • Develop and update website content (WordPress) and social media posts.
  • Draft, edit, and design newsletters, brochures, and handouts.
  • Work with staff to gather stories, photos, and content for outreach materials.
  • Film and edit short videos for YouTube and the VSN website.
  • Communicate with the Viroqua Chamber and local media about events. 

Fundraising & Development

  • Coordinate fundraising campaigns and appeals.
  • Track and organize donations, develop and maintain donor lists, sponsorships, and fundraising plans.
  • Manage merchandise using WooCommerce.
  • Work with contractors to design and produce promotional items.
  • Manage inventory and ensure timely fulfillment of merchandise orders. 

Office Administration

  • Order and manage office supplies.
  • Manage general inbox and phone voicemails.
  • Prepare and send monthly reports to the accountant. 

Mandatory Skills & Qualifications

  • Bachelor’s degree in communications, nonprofit management, or a related field.
  • Strong organizational, database management, and communication skills.
  • Experience with Excel spreadsheets.
  • Excellent writing and editing skills.
  • Ability to work independently and collaboratively within a small team.
  • Detail-oriented with the ability to manage multiple projects
  • Valid driver’s license and reliable transportation
  • Ability to lift up to 50 lbs and work at occasional outdoor events.

Preferred Skills & Qualifications

  • Experience in membership development, event planning, and fundraising.
  • Familiarity with WordPress, WooCommerce, Mailchimp, online donor management systems, and basic graphic design.
  • Knowledge of Driftless region conservation issues and interest in community-based environmental work.
  • Experience engaging with landowners or the public to promote conservation practices.
