ABOUT THE ENVIRONMENTAL CAREERS ORGANIZATION (ECO)

Founded in 1972, ECO is a Boston-based, national non-profit organization that develops future professionals for the environmental field through paid environmental internship programs that provide work-learning opportunities for college students and recent graduates. JOB SUMMARY 

Participate as member of NOAA (Nat'l Oceanic and Atmospheric Admin) Program team in activities to help ECO (The Environmental Careers Organization) fulfill its mission through recruitment of Associates (interns) for NOAA internship projects, project coordination and monitoring, and customer service.

Allocation of time to job responsibilities are anticipated to be: Recruitment and Hiring, Customer Service (25%); Program Coordination (15%); Project Monitoring (20%); Associate Travel Oversight (20%); Program Outreach (10%); Business Development (10%). All of the above responsibilities involve significant administrative work. 

ESSENTIAL JOB FUNCTIONS 

1) Recruitment and Hiring, Customer Service: 

- Review NOAA internship opportunities with sponsor and confirm all details including stipend amount, start date, travel allowance, health coverage options, and relocation allowance.
- Post internship opportunities on ECO's website and on various other sites; send out recruiting announcements to relevant contacts (universities and organizations).
- Evaluate and refer to NOAA most-qualified candidates for placement.
- Make internship offer to selected candidates and arrange start of project.
- Respond to inquiries from applicants and potential applicants. 

2) Program Coordination: 

- Prepare project budget and request for funds to support placement; follow up on progress of funding paperwork.
- Manage individual Associate budget, which involves notifying sponsor of remaining funds and, when necessary, seeking funds to cover incurred expenses beyond budget.
- Assist in planning and organization of orientation and training for various ECO/NOAA Programs. 

3) Project Monitoring: 

- Review and process requests for relocation allowance, awards, and health subsidy program.
- Work closely with ECO's National Office to resolve and address customer service needs such as payroll, billing, contracts, travel and Human Resources issues.
- Respond to all requests and inquiries in a timely manner.
- Regularly monitor and document quality of placement experiences from Associate's and NOAA advisor's perspective.
- Foster positive relations between NOAA representatives and Associates by providing supporting materials.
- Conduct on-site visits to meet Associates and NOAA personnel.
- Maintain organized filing and administrative systems for placement-related information. 

4) Associate Travel Oversight:

- Authorize, track and assist with all NOAA Associate travel arrangements.
- Work closely with Colpitts Travel Agency and Diplomat Services to coordinate reservations and billing. 

5) Program Outreach: 

- Coordinate Associates' career development and training activities.
- Assist with development and organization of ECO career workshops.
- Outreach to colleges and universities to publicize program opportunities through Career Fairs and site visits.
- Work closely with Associates, alumni and ECO's Communications Manager on semi-annual program newsletter.
- Work with local NOAA Associates to organize Brownbag (lunch meeting) events.
- Development and coordinate conferences and lectures. 

6) Business Development: 

- Assist in promoting program and obtaining placement opportunities with sponsors.
- Collaborate with NOAA Program Manager (supervisor) to research, plan and make presentations at meetings with NOAA personnel to promote new project opportunities for Associates. 

QUALIFICATIONS / EDUCATION / EXPERIENCE / PROFESSIONAL QUALITIES 

- BA/BS degree 
- Ability to work effectively both individually and as part of team 
- Experience with customer service and/or sales
- Excellent telephone communication and customer service skills
- Ability to prioritize and attend to multiple tasks
- High level of written and verbal communication skills
- Excellent attention to detail 
- Flexibility 
- Self-motivation and creativity
- Experience working with diverse groups and under-represented populations
- Proficiency in Microsoft Office, especially Word and Excel, and with Internet
- Significant organizational, project-tracking and follow-up skills 
- Valid driver's license 

SALARY AND BENEFITS 

This is a full-time, exempt staff position with annualized salary of $32,000. Available benefits include medical and dental coverage, vision plan, life and disability insurance, Section 125 flexible spending account, 403(b) retirement savings account, and T-pass program. Employees are given annual paid leave of 11 holidays, 10 vacation days (vacation leave increases with tenure), up to 10 sick days and 2 personal days.
