Position Overview
The Gift Planning Associate is responsible for maintaining and monitoring the Gift Planning budget and implementing all aspects of its marketing program, including: mail, telephone, website, social media and e-mail promotions; information request fulfillment and donor cultivation mailings; communicating with donors and prospects via telephone, mail, e-mail and occasional donor meetings when appropriate; and overseeing the Gift Planning interface with the donor database.
Responsibilities
- Work with the Director of Gift Planning to establish and monitor annual budget; create and maintain budget spreadsheets; track invoices; and reconcile expenses with monthly Finance reports.
- Work with Director of Gift Planning and outside marketing consultant to determine annual marketing strategy. Act as liaison to vendors to implement mail, telephone, website, social media and e-mail marketing efforts. Coordinate list selection, package design, postage, production, and all aspects of the outbound marketing program. Help conduct analysis and make recommendations based on results.
- Work with Online team and external web vendor to keep Gift Planning website information current. Monitor website reporting and make updates as appropriate
- Coordinate responses to incoming information requests through letters, telephone calls and e-mails. Ensure that all requests receive response within 72 hours. Draft letters and gift annuity illustrations using PG Calc software. Ensure Gift Planning brochures, and other fulfillment materials are current and stocked.
- Work with Director, Gift Planning Manager and Research Manager to identify best prospects for visits and cultivation (using database reports, and in some cases, phone calls or email queries). Research selected donors as needed. Help with visit packets and other visit logistics as needed.
- Maintain Gift Planning information in Donor Direct/PIDI database. Input data on member inquiries, interests, concerns, and special requests. Liase with Database Operations team to ensure timely delivery of recurring and customized response performance reports. Organize, track, and report monthly on marketing efforts.
- Draft marketing copy, donor profiles and correspondence and form letters for Director's review.
- Ensure integrity of marketing data in Donor Direct/PIDI database.
- Manage logistics of annual telephone seminar including planning, implementation and follow-up.
- Perform all other related duties as assigned.
Qualifications
- Education: Bachelor's (B.A./B.S.) degree or equivalent in related discipline.
- Experience: 2+ years of relevant development experience.
- An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
Other:
- Proficient in Microsoft Office.
- Experience in database use with willingness to learn specialized software such as Donor Direct and PG Calc.
- Prior gift planning experience preferred.
- Background in marketing strongly desired.
- Ability to manage multiple projects and meet deadlines.
- Detail-oriented with strong organizational skills.
- Excellent interpersonal skills and ability to interact with both management and support staff.
- Excellent written communication skills, as well as proofreading skills and knowledge of grammar.
- Proactive approach to problem-solving.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to use a computer and communicate with others while doing so.

- General office working conditions, the noise level in the work environment is usually quiet.
