Reports to: VP of Operations

Location: Downtown Chicago (River North)

Position Overview: 

We are looking for an energetic, detail-oriented self-starter to provide hands on management of our financial information and inventory data. The ideal candidate must show transparency in their work, own position expectations, be a steward of all of the details and an advocate for excellence. Along with looking for ways to reduce costs it is important to ensure all data is not only accurate but available at all times.

We will hire the person with the enthusiasm, proven skills and motivation to grow and thrive in this position and with the company. We're a small company - so the Bookkeeper will interact with all aspects of operations, including customer service, web development, merchandising, product development, marketing and sales as it relates to the position.

Responsibilities:

The specifics of this position may change based on candidate's experience, strengths, etc., but will generally include:

Bookkeeping/Accounting:

-Accounts Payable (inventory purchases and bills)
-Accounts Receivable (credit card receipts against monthly item sales, manual deposits, paypal receipts)
-Enter payroll in QuickBooks using Payroll Vendor reports
-Reconcile checking account and merchant statements
-Develop process and systems to streamline bookkeeping tasks and continuously identify inefficiencies and ways to improve profit/reduce cost
-Help implement checks & balances such as fulfillment house invoices, payment processing and merchant processor fees, vendor credits, credit card charge backs, customer returns, etc.
-Generate monthly and quarterly financial reports using QuickBooks (and Excel if necessary)
-Work with customer service and purchasing to make sure all transactions are being properly recorded in OSCommerce (website backend) and Quickbooks
-Update monthly budget forecast and financial key performance indicators
-Along with VP of Operations, create and apply fiscal controls and procedures, identify and manage accounting and office projects and present financial results

Inventory / Vendor Management (we will train for this if necessary):

-Keep product in stock while maintaining lowest possible inventory levels
-Ensure healthy flow of stock availability information to customer service
-Along with VP of Operations: review weekly inventory trends adjusting purchasing plans accordingly and manage suppliers to ensure best inventory allocation, turnaround, price, quality and terms
-Follow through on purchase orders; from shipment to receipt at 3rd party fulfillment center
-Address inventory discrepancies b/w our system and fulfillment center and QuickBooks
-Work with suppliers to troubleshoot, communicate and resolve billing issues (quantity, pricing, terms)

Qualifications: 

Someone who has done bookkeeping and some office management, preferably for a small company that sells inventory that is looking for a ground floor opportunity with a young growing company in the green space. They need to be very detail oriented and accurate, but able to see the big picture and plan accordingly. They can manage projects and people and are concise communicators.

Skills and Experience:

-Bachelors Degree
-Minimum of 4 years bookkeeping experience
-Experience with a business that sells inventory
-Detail oriented, analytical thinker with excellent communication skills
-Excellent QuickBooks skills
-Ability to manage projects
-Strong desire to grow with the company
-Strong MS Word, Excel and Internet skills

The following skills / experience are not required but are preferred:

-Experience working with fulfillment / distribution partner
-Direct experience doing accounting/bookkeeping for an e-commerce company

Compensation: We offer a strong compensation package based on individual & company results. Levers include salary, individual & company bonuses plus stock options.

We have an entrepreneurial work environment with a lot of autonomy. While a casual environment, work is fast-paced and outstanding results are expected. This position is a 40-50+ hour work week. Approximate office hours: M-F, 8:30 AM - 5:00 PM.
