The Farallones Marine Sanctuary (FMSA) is a non-profit, cooperating association located in the Presidio of San Francisco and helps protect the resources managed by the Gulf of the Farallones National Marine Sanctuary through collaborative education, interpretation, outreach, and monitoring.
Primary Responsibilities:
The Finance/Operations Officer will manage and support the accounting, human resources, membership, special event and other administration functions.
Specific Activities:
Financial Management: Working with Board and Executive Director to develop short- and long-term financial plans. Develop and monitor annual operating budget. Present financial statements and analysis reports at Board meeting. Support staff in developing and managing budgets for contracted work.
? Maintain and monitor A/P, A/R, Payroll, and banking functions
? Perform month-end closing, prepare and record account reconciliation and journal entries. Ensure accurate financial reports are produced.
? Prepare and submit government contract invoices
? Assist in maintaining Visitor Center bookstore inventory
? Prepare financial reports and maintain a tracking system for foundation grants, government contracts and fiscal sponsor programs
? Prepare 1099s and annual sales tax return
? Work with (outsourced) tax accountants, auditors to ensure timely filing of Federal, State, and local tax returns and other required reports
Human Resources Management:
? Process and coordinate all personnel forms and benefits administration
? Maintain staff handbooks, personnel records and advise staff in compliance with government requirements.
? Assist in recruiting staff: post job announcements, screen resumes and set up interview schedules
Special Event Support: Work with Association staff to coordinate annual fundraising events and outreach programs
? Assist with event logistics
? Review facilities, interview caterers or vendors, assist with purchasing supplies
? Coordinate registration
? Assist in developing event budget
? Coordinate and track event expenditures
Membership Support
? Maintain membership database using eTapestry
? Assist with membership mailings
? Generate membership acknowledgement letters
Administrative Support
? Assist in preparing and distributing Board materials
? Attend bi-monthly Board meeting
? Record minutes in the absence of Board Secretary
? Maintain postage meter to ensure sufficient funds are provided
? Provide general administrative support to office as needed.
Requirements:
Skills and knowledge - At least 5-7 years experience in bookkeeping. A degree in accounting/finance preferred. Managing financial books for a non-profit and fund accounting are highly desirable. Mastery of QuickBooks required. Excellent skills in Microsoft Word and Excel. Good verbal and written English communication skills. Ability to work well with the public, are friendly, flexible with a sense of humor. Able to work with minimum supervision and multitask projects. Strong organizational skills and detail oriented.
Salary Range: $18 - 20 per hour
Position Status: 30 hours/week (Full Benefits)
