Position Summary 

The Executive Assistant will assist the President in the management of this regional, dynamic organization. The EA performs diverse administrative functions requiring initiative and sound decision-making with the goal of achieving clear communication, efficient office operations and procedures, and effective support for multiple projects.

This fun and challenging position will require regular contact with a variety of staff and board members, flexibility, discretion and confidentiality, and a solutions-based approach to addressing problems. CLF is seeking an experienced and talented administrative professional who thrives in a dynamic environment and welcomes the exciting challenges of working for a regional environmental advocacy organization dedicated to the mission of protecting New England's environment.

Based in Boston, the EA will also work with CLF staff and Board members from its Advocacy Centers in Maine, New Hampshire, Vermont and Rhode Island. 

Responsibilities

Organizational and Board Administrative Support (~45%) 

§ Conduct responsibilities under limited supervision, using excellent judgment and maintaining confidentiality
§ Schedule appointments, make travel arrangements, and proactively maintain the Presidents calendar
§ Answer phones, order and maintain office supplies, process expense reports, code invoices, and open and review incoming correspondence
§ Serve as company Clerk, a board-appointed position, organizing board meetings, preparing and disseminating minutes, and maintaining all corporate records and seals § Support the nominating and governance committee in researching, compiling and preparing board member candidate briefings
§ Draft letters, e-mails, agendas, power point presentations and memos for the President
§ Research and compile briefing information to help President prepare for meetings, donor visits and other organizational obligations
§ Communicate on behalf of CLF officers over the phone and in writing
§ Prepare reports and other materials and coordinate follow up from meetings
§ Organize, file, edit, distribute and copy documents § Provide front desk coverage during lunches and vacations, as assigned 

Staff and Volunteer Support (~15%) 

§ Coordinate new hires, interns, volunteers, and board orientations, including compiling materials, setting up accounts, and scheduling trainings, ensuring a welcoming and informative introduction to CLF
§ Assist in agenda creation and facilitation of semi-annual All staff meetings
§ Coordinate intake process for CLF interns, ensuring that all offices follow proper intern protocols
§ Staff the CLF pro bono program, coordinating intake of volunteer candidates
§ Provide back up support on HR-related functions, as needed 

Qualifications

§ Bachelor's degree plus a minimum of 3 years' relevant office experience is required, experience supporting senior staff preferred
§ Excellent communication skills (writing, editing and speaking)
§ Self-starter with experience tackling administrative tasks proactively and with limited direction
§ Excellent interpersonal skills and ability to work with a wide range of people in a collaborative fashion and professionally represent the organization
§ Superior planning and organizational skills, a detail orientation, and the ability to effectively handle multiple priorities
§ Advanced skills with MS Office Suite (Word, Excel and PowerPoint is a plus); proficiency in scheduling meetings, maintaining contacts list, sending e-mail via distribution lists; a working knowledge of Outlook is a plus
§ Proven ability to exercise sound judgment, handle sensitive information and maintain confidentiality
§ Ability to coordinate and manage logistics for travel and events, including board meetings, all-staff meetings and program events, as required
§ Exemplary work ethic accompanied by a positive attitude and sense of humor
§ High professional standards and an openness to learning new skills
§ Interest in and support of the vision and mission of Conservation Law Foundation 

Salary and Benefits: Salary is commensurate with experience, and CLF offers a generous benefits package. The position is a part-time, non-exempt position. Some additional hours may be required as is the flexibility to attend early morning or evening on-site and off-site functions.
