The Watershed Agricultural Council (WAC) is a nonprofit organization with the mission to support the economic viability of agriculture and forestry through the protection of water quality and the promotion of land conservation in the New York City watershed region. WAC is funded by New York City Department of Environmental Protection, the U.S. Department of Agriculture, the U.S. Forest Service and other federal and foundation sources.

Position Overview:

The Watershed Agricultural Council seeks an Executive Assistant for an expanding non-profit organization working with their Forestry Program. Excellent opportunity for self starter able to handle a wide variety of tasks including working independently with minimal direction, computer skills, and office duties.

The Executive Assistant to the Forestry Program will be part of a team with responsibility for implementing the various forestry programs.

Responsibilities:

  • Providing support for the Forestry Program. These duties shall include but are not limited to: agendas, minutes of meetings, computer work, faxing, answering and placing phone calls, scheduling meetings and appointments, filing, and keeping track of activities within the program areas such as grants and contracts.
  • Tracking bills for the Forestry Program, checking to see if funding is available by line item, preparing purchase orders, sharing with Program Manager and giving to the Executive Director in a timely manner for approval and signature.
  • Developing and maintaining a system for tracking the various logger training classes (in conjunction with the NYLT office), and bridge cost share programs.
  • Projecting a positive professional image of the Watershed Agricultural Council when greeting and assisting office visitors and taking calls in a courteous and helpful manner. Responsible for answering the telephone. When answering the phone, record messages accurately and distribute promptly to appropriate individuals.
  • Providing support to the Forestry Program Manager, Program Forester, and Forestry Program Specialist.
  • Ordering, setting up, and cleaning up after all meals provided for Forestry Program meetings.
  • Processing materials to be mailed for forestry program and print reports.
  • Provide assistance in the updating and design of the WAC website.
  • Learning whatever computer software is necessary in order to provide full support to the Forestry Program and maintaining databases
  • Maintaining and ordering as needed office supplies, cleaning supplies, and kitchen paper supplies.
  • Research and procure all necessary field attire for WAC staff from all program areas.
  • Develop, implement, and maintain fundraising database profiles and information
  • Input and maintain database information.
  • Export information to be used for mailings and other forms of solicitation from WAC database.

Reporting Relationships: Works under the direct supervision of the Forestry Program Manager.

Qualifications:

Education and Experience Requirements:

  • Exhibits ability to work well with a diverse group of people
  • Ability to work independently and effectively in a team setting
  • Must have a minimum of 3 years of office experience.
  • Must have a valid and current driver's license

Compensation: Salary approximately $30,000 commensurate with experience.
