Position Overview:
We are looking for a professional, flexible, and highly-organized individual for the position of Executive Assistant for a busy CEO. The ideal candidate will have demonstrated experience as an Executive Assistant for a senior level executive and have experience working in the sustainable/scientific industry. An aptitude for strategic thinking, follow through, and communication will be critical to success in this role. You should also be passionate about the work, and demonstrate willingness and determination to learn and grow in the environmental industry. You should have a good appreciation for the challenges and opportunities in a growing company.
Responsibilities:
- Meticulously schedule and manage CEO's calendar, travel, meetings, and appointments
- Prepare agendas, take meeting minutes, and document follow up items from internal meetings
- Develop and maintain positive working relationships with clients, business contacts, and employees
- Schedule and coordinate conference calls, webinars, etc. with clients and business associates
- High degree of flexibility, able to multi-task and use judgment to make sound decisions in the absence of direct supervision
- Manage and track executive receipts and expenses, submit expense reports for processing
- Assist with the preparation of internal and external written correspondence and presentations
- Screen all incoming phone calls, direct phone calls as appropriate
- Assist with special projects, event planning, and tradeshows coordination
- Maintain high degree of discretion and confidentiality when dealing with sensitive issues
Qualifications:
- Bachelor's degree preferred
- Minimum of 3 years providing support to senior level executives
- Highly focused, ability to consistently meet sensitive deadlines
- Exceptional communication and interpersonal skills
- Proficient in Microsoft Office Suite (Word, Excel, Powerpoint, and Outlook)
- Must be proactive, resourceful, and professional
- Background or interest in science, environmental or sustainable issues is strongly preferred
