Design to Win (DTW) is a new global philanthropic network organized to win the battle against climate change. Its goal is to ensure that global average temperatures do not increase by more than 2o C - a threshold many scientists describe as a dangerous tipping point.

Position Overview:

The Executive Assistant is a key administrative position providing comprehensive administrative support for the executives of the Design to Win Foundation.

We are currently seeking two (2) committed, responsible, energetic, and highly professional Executive Assistants to join this effort.

Responsibilities:

Executive Assistant 1 will be working with the Development Director and CEO of the organization.

Executive Assistant 2 will be working with two of the Program Directors of the organization.

These individuals will play a key role in furthering DTW's goals, working closely with Foundation staff to support the administrative functions of the organization. These Assistants will represent the Directors both internally and externally and must have good judgment and significant initiative across a broad spectrum of activities and situations.

Because the Directors travel often to meet with global environmental leaders, this position requires an independent, experienced assistant with strong organizational and interpersonal skills. Simultaneously, this person will be an integral part of an enthusiastic team in an interactive and outcome oriented office.

  • Manage Directors' calendars and time, doing complex scheduling of high level colleagues and ensuring that issues are shared with others for resolution
  • Coordinate board and organizational events including arranging logistics for transportation, travel, space, technology requirements, materials, etc.
  • Ensure that the Directors are fully briefed and prepared for meetings, events, and trips by providing or obtaining background information for these commitments
  • Research and/or prepare materials for meetings and presentations; compile reference material as needed
  • Screen correspondence and inquiries and independently respond or reroute these to others as appropriate
  • Review all documents prepared for accuracy, completeness, grammar, and syntax
  • Track progress of current issues, from initial identification through final resolution, in a timely manner
  • Ensure that files, both electronic and paper, are organized and current
  • Write letters, emails, and reports as needed and regularly contact colleagues within and outside of the foundation

 Qualifications:

  • Five years of relevant experience
  • BS or BA degree
  • High degree of proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Sharepoint)
  • Able to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency and drive to achieve results
  • Highly self-motivated, persistent, dependable, and self-sufficient
  • Ability to independently prioritize and manage multiple and sometimes competing tasks and satisfactorily meet deadlines and desired outcomes
  • Ability to quickly and accurately analyze problems and identify appropriate solutions
  • Capable of handling complex issues creatively and effectively
  • Tact, poise, professionalism, diplomacy, teamwork, humor, and ability to interact with people from all walks of life
  • Attention to detail and strong organizational skills
  • Ability to handle sensitive matters with discretion
  • Excellent oral and written communication skills
  • Experience in a major gifts department is a plus
  • Donor database experience
  • Passion for environmental issues
