~ The Organic Trade Associationis is the leading voice for organic trade in the United States, representing over 6,500 organic businesses across 49 states. ~

The Organic Trade Association (OTA), an established international trade association located in Brattleboro, VT and Washington, DC., is a membership-based business association for the organic industry. OTA's mission is to promote and protect organic trade to benefit the environment, farmers, the public, and the economy.

OTA envisions organic products becoming a significant part of everyday life, enhancing people's lives and the environment. OTA represents businesses across the organic supply chain and addresses all things organic, including food, fiber/textiles, personal care products, and new sectors as they develop. Over sixty percent of OTA trade members are small businesses. 

Position Overview:          

The work of the executive administrator is integral and vital to the success of the CEO and Executive Vice President as well as the Organic Trade Association (OTA) and affiliated non-profit, The Organic Center (TOC), by providing the necessary administrative support for ongoing activities and special projects. The location for this postion is the Hall of the States, Washington, DC.   

Responsibilities:


Examples of specific work tasks might include:

General Office Administration

  • Serve as DC office manager - provide administrative and operational support to OTA's DC office: phones, mailing, supplies and IT support services with State Services Organization.
  • Scheduling and travel arrangements for CEO and Executive staff; secure reasonable rates.
  • Support CEO membership acquisition and retention efforts.
  • Meeting planning: including room acquisition and other operational details in the Hall of the States or other DC locations.
  • Take minutes and facilitate committee and other meetings as requested by CEO and Executive Vice President.

Project Coordinator 

  • Provide comprehensive program support to the Government Affairs, Trade Development and Organic Center Development, Events and Communications teams; including administrative, creative and project management duties as assigned.
  • Maintain an organized oriject environment - establish and track timelines, milestones and next steps; update team members, websites and associated databases.
  • Manage day-to-day projects accross all platforms.
  • Engage in creative and technical meetings and discussions.
  • National travel required on occasion.
  • Complete contractor/systems research.
  • Collect and Analysis date. Complete reports as requested.
  • Executive and Board task force administration.

Note: Special Projects may be included in this position.

Qualifications:

The person in this role must possess the following attributes: 

  • Ability to function as primary support staff to the OTA's CEO and Executive team.
  • Help build positive and strong relationships with OTA Board of Directors, staff, and membership.
  • Will develop and maintain a deep understanding of OTA's work and use that knowledge while performing work duties.
  • Will maintain his/her "finger on the pulse" of the organization and maintain a 360 degree perspective.
  • Anticipates the needs of the CEO and Executive staff.
  • Ability to produce accurate, timely, and quality work; personal accountability for meeting objectives.
  • Self-starter, ability to troubleshoot and manage projects independently; proven ability to work as part of a team.
  • Highly organized, extremely proactive; desire to stretch beyond task list to manage up.
  • Flexible and able to adapt quickly to changes in priorities.  

Minimum Requirements: 

  • Five years related job experience or equivalent.
  • Bachelors Degree; job-related continuing education a plus. 
  • Strong written and oral communication skills; excellent typing and word processing skills.
  • IT trouble shooting skills.
  • Discretion and comfort interacting with executives. 
  • High-level computer competence, extensive knowledge of Microsoft Office Suite (Word, Excel, PowerPoint); internet savvy and not afraid of embracing new technologies!   
  • Outlook is required. Attention to detail; able to work independently as well as perform routine work; excellent interpersonal skills; team member. 
  • Ability to work well under pressure with critical deadlines.
  • Knowledge of the organic industry a plus.
  • Some travel may be required.
