Earthwatch Institute is an international, non-profit organization that engages people worldwide in scientific field research and education to promote the understanding and action necessary for a sustainable environment. Earthwatch is dedicated to partnering with various philanthropic organizations to achieve our mission. The primary mode of engagement and funding for volunteers at Earthwatch is through our fellowship program. Through this program, foundations, corporations, and individuals fund the participation of corporate employees, teachers, students, and other stakeholders on 2-week Earthwatch research expeditions. 

Position Summary: 

The Education Fellowship Coordinator will play a key role in the successful implementation of the Earthwatch educator fellowship program. They will be responsible for overseeing a portfolio of 15-20 grants which underwrite the participation of 150+ educators on Earthwatch expeditions.

The fellowship coordinator will be responsible for the logistical details of their grant projects, including: all fellowship preparation processes; creating grant project timelines, customized fellowship application forms, customized fellowship announcements for website, reading of applications and selecting fellow finalists, and generating correspondence to communicate fellowship status to all applicants. The Fellowship Coordinator is responsible for fellows' program administration and works in collaboration with field operations to select appropriate conservation projects for fellows. 

The fellowship coordinator will communicate with awarded fellows on their award benefits, project preferences and will coordinate the reimbursement of travel stipends for fellows. The Fellowship coordinator will write interim and post-program evaluations and reports. This individual will be responsible for internal coordination and collaboration across all Earthwatch departments to fulfill specific grant deliverables, as designated by the Director of Engagement. 

Responsibilities: 

A. Education Fellow Program Administration

1. Assist Director of Engagement in projecting fellowship seats for the year
2. Process all incoming applications: data entry and customized queries
3. Maintain tracking documents using Microsoft Office and Custom Database
4. Update fellowship information database and create lists and reports as required
5. Oversee review & selection of fellow applicants
4. Review prospective fellow applications; select fellows, and assign waitlisted alternates
5. Coordinate the placement of fellows on appropriate research expeditions
6. Maintain up-to-date contact information for all fellows
7. Process all prospective fellow phone and mail inquiries and actively contact eligible fellows
8. Liaise with grant funders as required by Director of Engagement and Development Directors
9. Manage partial and full fellowship award subsidy programs
10. Assist and coordinate special events which include past fellows
11. Notify applicants of their award status in a timely manner
12. Manage pre-fielding information (bios, briefings, special travel forms)
13. Assist in the creation, development and maintenance of fellowship materials (award materials, fellowship guidelines) 

B. Post Expedition Follow Up

1. Send welcome back package information to all fellows report/evaluation guidelines 2. Participate in education conferences as required
3. Contact fellows to ensure timely return of post expedition field reports and evaluation materials
4. Read and Process all incoming final reports and requests for travel reimbursement 5. Assist designated Earthwatch staff on final reports to donors
6. Add fellow quotes to database for retrieval by marketing communications
7. Send expedition confirmation letter and certificate of completion to fellows
8. Provide fellows support for their post expedition community conservation projects 

C. Fellowship Recruitment

1. Coordinate with fellowship recruiter to identify prospective candidates
2. Coordinate with marketing and publications to communicate with prospective and past education fellows 

D. General

1. Attend Earthwatch staff and Engagement team meetings and seasonal workshops 2. Attend and assist with funder events if applicable
3. Provide general assistance to the Engagement Team as needed 

All Earthwatch staff are expected to participate in staff assignments at our annual conference and occasional evening events as part of their regular job. 

Qualifications/Skills: 

ý Bachelor's degree
ý 1 - 3 years of work experience, preferably in a business environment
ý Strong project management and organizational skills
ý Ability to identify problems and to develop creative, timely and efficient solutions
ý Exceptional computer skills and a propensity for learning new technology programs ý Expert in MS Word, Excel, Access, Outlook and Power Point
ý Knowledge of Microsoft Project desirable
ý FileMaker Pro
ý Excellent verbal, written communication and interpersonal skills
ý Superb and demonstrated customer service skills
ý Self-motivated, ability to manage multiple projects simultaneously and work independently
ý Sense of humor, commitment to volunteerism, passion for conservation and desire to be part of a team 

Salary range: $30,000 - $35,000. Competitive benefit package.
