The U.S. Green Building Council, a Washington, DC-based national nonprofit organization of over 14,000 corporate and organizational members from every sector of the building industry united to transform the building marketplace to sustainability, is currently seeking an energetic and enthusiastic individual with office experience to provide administrative support to the USGBC chapters staff.
The Chapters Assistant will support the work of the senior chapters management and the chapter coordinators, who in turn provide guidance to the USGBC chapters network.
Responsibilities Include:
- Internal Administration/ Support:
- Monitors and responds to chapters staff e-mail box and routes inquiries to colleagues as appropriate
- Processes travel and meeting expenses for chapters staff as needed
- Tracks chapters staff travel and meetings schedule on central calendar
- Maintains and updates chapter information, which includes chapter contact lists, chapter status list, chapter territory documentation, etc.
- Monitors and maintains Chapter Leader Extranet content, as directed by chapters staff
- Keeps chapters staff shared drive files up to date and organized
- Tracks chapter statistics on a quarterly basis
- Assists chapters staff in development of presentations as needed
- Schedules and administers Webcast trainings and presentations for Chapter Leaders
- Assists with the planning and coordination of chapters department events, such as staff meetings, regional meetings, chapter leader retreat, advocates trainings and chapter events at Greenbuild International Conference and Expo.
- General clerical duties as needed
- External Administration:
- Administers touring chapter exhibit booth usage requests from chapters
- Processes requests for USGBC national informational materials / collateral from chapters
- Provides membership, LEED and financial reporting to chapter leaders on a monthly basis.
Qualifications:
- Bachelor's degree
- 1+ years of experience working in an office environment
- Excellent communications skills (both verbal and written)
- Very strong organizational and project management skills
- Ability to multi-task and troubleshoot on diverse issues
- Team player with outstanding interpersonal skills
- Ability to display a positive attitude and enjoy interacting with new people and problem solving
- Ability to handle challenging personalities with grace and diplomacy
- Ability to handle rapidly shifting priorities
- Proficiency in Microsoft Office Suite, especially Word, PowerPoint and Excel
- Adaptability to new technologies, ability to learn new software applications
