Description

The Green Building Certification Institute, a separately incorporated entity with the support of the U.S. Green Building Council responsible for credentialing programs related to green building practices as defined by industry systems such as the Leadership in Energy and Environmental Design (LEED®) Green Building Rating SystemsTM, is currently seeking a personable, detail-oriented and highly organized professional to provide administrative support to the certification team. The certification team at GBCI is responsible for LEED certification and the advancement of the LEED Rating Systems.

Position Overview:

The Technical/Administrative Associate will provide efficient and comprehensive administrative support to the certification team at GBCI. This includes data entry and processing, customer service and support, and administrative tasks related to shared technology resources such as network drives, shared email folders, and LEED Online. This associate will also serve as the liaison to the Finance Department with respect to sales orders, invoices, purchase orders, check processing, and other tasks.

Responsibilities:

  • Administer GBCI's customized LEED project tracking software, including data entry, database updates, report generation, and workflow tracking
  • Support the certification team staff by managing user profiles and login information in multiple systems
  • Create purchase orders, sales orders, invoices, promotional codes, check requests, and other accounting documents
  • Manage invoices and ordering process for third-party vendors
  • Administer multiple shared high-volume email accounts
  • Manage customer data in GBCI's ERP and CRM software tools
  • Ship and receive packages, track all related data
  • Respond to data requests from the certification team, customers, and/or other departments
  • Deliver top-quality phone and email customer support
  • Maintain help content for various sections of the GBCI Web site
  • Working with the certification team, develop and maintain email templates for automated LEED-Online emails
  • Create and process scorecards for LEED-certified projects, post to GBCI Web site
  • Assist in conceiving and developing improvements to LEED and the certification review process based on personal experience and vision, or user feedback
  • Other duties as assigned

Qualifications

  • High school diploma or equivalent required, bachelors degree strongly preferred
  • Minimum 1 year relevant professional experience working in an office environment
  • Strong computer skills, including proficiency in MS Office suite
  • knowledge of SAP r/3 and LEED-Online preferred
  • Detail-oriented and able to prioritize
  • Excellent written and verbal communication skills
  • Strong interpersonal and customer service skills
  • Strong sense of personal responsibility and accountability for delivering high quality work
  • Ability to work well both independently and on teams
  • Willingness to self-initiate
  • Passion and commitment to USGBC mission
