Animal Legal Defense Fund (ALDF) has been fighting to protect the lives and advance the interests of animals through the legal system.
Position Overview:
The Bookkeeping/Administrative Assistant is primarily responsible for the daily maintenance of the organizations bookkeeping system which will likely account for approximately half of this position's time. The remainder of the job responsibilities will consist of fulfilling ongoing and occasional administrative duties as directed by the office manager.
Responsibilities:
Bookkeeping duties include:
Entry and maintenance of financial records in Quickbooks, including:
- Entry of accounts payable and receivable
- Entry of donation and other income from various reporting sources
- Scheduling and timely payment of bills
- Scheduling and timely reporting of income as needed
- Reconciliation of bank, credit card, and other statements
- Regular communication with and reporting of financial data to outside contract bookkeeper, executive director, board of directors and auditor as required
- Report semi-monthly payroll to contract payroll service (Paychex)
- Accessing and collecting necessary financial information to complete bookkeeping tasks from various online and offline sources, including banks, credit card processors, vendors, membership databases, etc.
- Maintain hard copy and electronic filing systems
Note: Applicants will be tested on Quickbooks.
Other administrative duties may include:
- Data entry and maintenance of web-based membership databases
- Handling routine requests for information and services from organization members and the public
- Maintain hard copy and electronic filing system
- Assisting with regular mailings, including printing and mailing
- Sorting and routing incoming mail daily
- Research, price, and purchase office furniture and supplies.
- Coordinate and maintain records for staff office space, phones, parking, company credit cards, office keys, PTO, etc.
- Setup and coordinate meetings and conferences
- Support staff in assigned project based work
- Coordinating meetings
- Monitoring and ordering office supplies
- Other duties as assigned
Qualifications:
- Must have minimum 2 years experience in similar administrative position
- Must have prior bookkeeping experience
- Must have experience using Quickbooks and Excel
- Must be "computer literate" and have at least working knowledge of other common computer applications including, Outlook, Word, Acrobat, Web browsers, etc.
- Must have excellent organizational and prioritization skills
- Must be able to juggle multiple tasks and deadlines
- Must have a positive attitude and be able to work cooperatively with others and functional well in a team-oriented work environment
- Must have excellent interpersonal skills and be able to communicate effectively with members, supporters, co-workers, etc.
- Must understand and be committed to the mission of the Animal Legal Defense Fund
- Must have excellent written and verbal communication skills
- Must have excellent references relevant to similar positions held
- Experience with nonprofit organizations a plus
- Experience with membership/donor databases a plus
Compensation: Salary: 37,000
